Job Brief

We’re looking for a dynamic Receptionist to be the welcoming face of our office and the organizational heartbeat of our team. In this key role, you’ll keep our front desk running smoothly while providing vital support to our sales and client services departments—managing calls, greeting clients, and handling shipping for our fast-paced technology company.

Responsibilities and Duties:
  • Create a warm, professional, and welcoming experience for clients in person and over the phone as the first point of contact.
  • Handle incoming and outgoing calls, route inquiries appropriately, and serve as a backup to the dispatch team by assisting with scheduling, ticket routing, and coordination as needed.
  • Prepare, format, and edit internal and external communications, including emails, reports, presentations, and meeting materials (Word, Excel, PowerPoint, Acrobat).
  • Coordinate the delivery of timely updates and reports to clients.
  • Take detailed meeting notes and ensure accurate follow-up and documentation.
  • Manage office operations including supplies, shipping and receiving, equipment logging, and maintaining a clean, organized workspace.
  • Greet visitors, manage building access, and follow internal security procedures.
  • Support cross-functional teams and assist with special projects as needed.
  • Learn and adapt to our technology stack to support call routing and dispatch processes, including overflow assistance with the dispatch board.
  • Perform other duties as assigned to support the overall success of the team and company.
  • 2+ years of administrative or office coordination experience, preferably in a professional services or technology environment.
  • Exceptional communication and interpersonal skills, with a warm, professional demeanor both in person and over the phone.
  • Strong organizational and time management skills, with the ability to prioritize and manage multiple tasks efficiently.
  • Proficient with Microsoft 365 tools (Outlook, Teams, Word, Excel, PowerPoint) and Adobe Acrobat, with strong digital literacy and the ability to quickly learn new software, systems, and office technologies.
  • High attention to detail in data entry, documentation, and written communications.
  • Ability to handle confidential information with discretion and professionalism.
  • Reliable and punctual, with a proactive, can-do attitude and willingness to assist where needed.
  • Comfort working in a fast-paced, team-oriented environment, balancing independent work with collaboration.

The pay range for this role is:
