Operations Coordinator

The Operations Coordinator supports the day‑to‑day administrative, operational, and logistical needs of Maryland Humanities. This role plays a key part in ensuring smooth internal processes, well‑executed events, and strong organizational coordination across teams. The Operations Coordinator is highly organized, detail‑oriented, and comfortable managing a mix of administrative tasks, event logistics, and cross‑functional support.

Salary Range: $55,000–$57,000

FLSA Status: Exempt;
Permanent;
Full‑time (32 hours/week)

Reports to: People & Operations Officer

Working Conditions: Hybrid, remote first

Supervisory Responsibilities: None

Duties Include Event Coordination & Logistics
  • Coordinate all aspects of event logistics, including venue coordination, catering, vendor communication, and event‑related communications (invitations and follow‑ups). Primary focus will be on the Regional Humanities Network, traveling exhibits, advancement events, and special projects.
  • Manage event RSVPs and attendee data, including maintaining accurate records, preparing attendee lists, and ensuring proper entry in Donor Perfect.
  • Support event logistics for other programs as needed, in coordination with program staff.
Administrative & Operational Support
  • Provide general administrative support across the organization, including scheduling, document preparation, and coordination tasks.
  • Support internal systems and workflows, including basic task management in Asana.
  • Serve as a backup for the People & Operations Officer for essential operational tasks (e.g., mail processing, administrative workflows).
Advancement & Data Support
  • Assist with batch reporting and data entry.
  • Maintain accurate records and support data organization across systems.
Governance & Board Support
  • Maintain board records, including terms, contact lists, and governance documents.
  • Support preparation for board and committee meetings, including building and managing Asana workflows.
  • Assist with tracking and organizing board‑related materials.
Required Qualifications & Skills
  • 2–4 years of experience supporting events or event logistics.
  • 2–4 years of experience in administrative, operations, or coordination roles (nonprofit experience a plus).
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Close attention to detail and accuracy, especially in data entry and record‑keeping.
  • Clear and professional written and verbal communication skills.
  • Comfort working with digital tools and systems (e.g., Google Workspace, Asana, CRM platforms such as Donor Perfect, Canva).
  • Flexibility and willingness to support a range of operational needs across teams.
  • Demonstrated initiative to learn and enhance skills that promote equity, inclusion, and cultural responsiveness, and an understanding of systems of oppression and their impact on communities.
  • Demonstrated commitment to the creation of inclusive spaces and to the equitable treatment of all, including participants, audiences, supporters, staff, and board members, at every level of the organization.
Working Conditions and

Physical Requirements
  • Maryland Humanities offices are located in Baltimore, MD. The office is open for staff to work from as needed. Each staff person is expected to join on‑site team meetings at least 1 day per month.
  • Must be located in or willing to relocate to Maryland.
  • Regular travel throughout the state of Maryland to support events is required.
  • Ability to work occasional evenings and weekends in support of events.
  • Prolonged periods of sitting and working on a computer.

What we are offering
  • The annual salary for this position is $55,000–$57,000.
  • 4‑day, 32‑hour work week with flexible scheduling.
  • Employees are eligible for employer‑provided health and dental insurance coverage (two plans offered, including one 100% employer‑paid), flex benefits, retirement (including a 4% employer contribution), monthly stipend to offset parking and/or work‑from‑home expenses, and annual funding for professional development.
  • 19 days of vacation per year and 12 days of sick leave per year, as well as access to advance and donated leave if needed.
  • 15 paid holidays and 2 floating holidays; access to holiday exchange (i.e., observing Eid Al‑Adha instead of Christmas).
  • We offer a sabbatical with up to 6 weeks after five years of service and up to 10 weeks after 10 or more years of service.
  • Employees have access to Volunteer Time Off.
  • We offer Extended Family and Medical Leave of 12 weeks, with additional eligibility for 4 weeks of a gradual return to work.
  • We traditionally close the offices at the end of the year, Dec 24–Jan 1.
