Essential Job FunctionsThe Records Assistant pulls, sorts, and refiles case files. Pulls mail for Clerk’s departments for Baltimore City Circuit Court. Enters files in File tracking to keep an accurate record of location of file. Assists the public, attorneys, and court personnel at the counter by finding files and providing information. Retrieves, unloads, sorts, and distributes mail.
Essential Duties and Responsibilities- Pulls case files daily for court personnel, customers, court related agencies, and judges.
- Receive returned files and refiles.
- Scan files into the court’s filing system.
- Locates and photocopies files for customers.
- Processes outgoing mail and logs certified mail.
- Retrieves, unloads, sorts and distributes incoming mail.
- Prepares files for transmitting to the Maryland Archives or for destruction according to the retention schedule.
- Receives exhibits and transcripts, updates computer system. Notifies and destroys exhibits per rule.
- May work on special projects as assigned, including shredding files eligible for destruction according to the retention schedule.
- Education:
High school diploma (or GED equivalent). - Experience:
Six (6) months of work experience. - Note:
A bachelor’s degree may substitute the required work experience. - A Paralegal/associate’s degree or 60 college credits may substitute the required work experience.
- A Paralegal Certificate may substitute the required work experience.
- Knowledge Of
- Basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.

- Use and maintain alphabetical and numerical filing systems.
- Acquire knowledge of Maryland Judiciary procedures, rules, practices, regulations, and jurisdictional courts.
Medium work. Exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
