Brown Advisory is seeking a professional, proactive, and highly organized Executive Assistant to provide administrative support to colleagues within the Institutional Business. This role supports multiple investment professionals, including portfolio managers and research analysts, by coordinating schedules, preparing materials, managing logistics, and helping ensure day-to-day activities run smoothly.
The successful candidate will be highly organized, adaptable, and detail-oriented, with strong communication skills and the ability to manage multiple priorities while handling confidential information with discretion. Position Summary
Brown Advisory is seeking a professional, proactive, and highly organized Executive Assistant to provide administrative support to colleagues within the Institutional Business. This role supports multiple investment professionals, including portfolio managers and research analysts, by coordinating schedules, preparing materials, managing logistics, and helping ensure day-to-day activities run smoothly.
The ideal candidate is resourceful, adaptable, detail-oriented, and service-oriented, with the ability to manage multiple priorities, communicate effectively, and handle confidential information with discretion. Primary Duties and Responsibilities
The primary duties and responsibilities include, but are not limited to:
* Provide administrative support to multiple colleagues across the Institutional Business, including portfolio managers, research analysts, and other investment professionals.
* Schedule and coordinate meetings, maintain calendars, manage meeting logistics, and assist with preparation of agendas, materials, notes, and follow-up items as needed.
* Arrange domestic and international travel, prepare itineraries, and process expense reports.
* Prepare, edit, format, and distribute presentations, reports, meeting materials, and other business documents, ensuring accuracy and professionalism.
* Support recurring team processes, reporting packages, and distribution of materials using established systems, templates, and procedures.
* Coordinate internal and external meetings, including scheduling, technology support, food service, guest arrivals, and workspace arrangements.
* Maintain team schedules, contact information, trackers, and other shared resources to support effective team coordination and communication.
* Assist with onboarding activities for new colleagues, including coordination of access requests, technology setup, training schedules, and other administrative needs.
* Support vendor management activities, including maintaining records, coordinating renewals, facilitating approvals, managing access requests, and assisting with vendor communications and training events.
* Coordinate with internal teams, vendors, and external partners to support meetings, training sessions, licensing requests, and other business activities.
