Position OverviewCTM is seeking a highly organized and motivated Administrative Services Coordinator to support the daily operations of our growing behavioral health organization.
In this role, you will play a key part in assisting with the structure, organization, and overall operational flow of the clinic, ensuring that administrative systems run efficiently and support high-quality client care across all programs.
This mid-level position is ideal for a professional who thrives in a fast-paced, mission-driven environment and is looking to grow into an operations leadership role.
Key Responsibilities Front Desk & Client Experience- Serve as the primary point of contact for clients, families, and community partners
- Maintain a welcoming, professional, and trauma-informed office environment
- Coordinate intake processes and support client onboarding
- Ensure accurate and timely entry of client information into the EHR system
- Manage scheduling for therapy, PRP, and care management services
- Coordinate provider calendars and ensure efficient service delivery
- Communicate appointment updates, cancellations, and changes
- Support coordination across multiple programs and service lines
- Assist with insurance verification and eligibility checks
- Support billing workflows, including claim tracking and issue resolution
- Maintain organized administrative and financial documentation
- Collaborate with leadership to address billing or documentation discrepancies
- Assist with onboarding and offboarding of staff and contractors
- Maintain personnel files, credentials, and compliance documentation
- Support time tracking, payroll coordination, and internal communications
- Assist with recruitment and administrative HR functions as needed
- Support the development and maintenance of efficient administrative systems and workflows
- Ensure processes align with COMAR, Medicaid, and organizational standards
- Assist with audits, accreditation activities (CARF), and quality improvement efforts
- Maintain strict confidentiality and adherence to HIPAA guidelines
- Bachelor’s degree in Business Administration, Healthcare Administration, or related field (or equivalent experience)
- Minimum 2–4 years of administrative experience, preferably in healthcare or behavioral health
- Strong organizational, communication, and multitasking skills
- Experience with scheduling, administrative coordination, and client-facing roles
- Proficiency in EHR systems, Microsoft Office, and/or Google Workspace
- Experience in behavioral health (OMHC, PRP, or care management programs)
- Familiarity with Medicaid and insurance billing processes
- HR or onboarding experience
- Knowledge of COMAR, CARF, or healthcare compliance standards
- Salary: $40,000 – $50,000 annually (based on experience)
