The Receptionist is responsible for greeting all visitors and managing day‑to‑day communications on a variety of fronts.
Duties and Responsibilities- Greets visitors promptly and graciously, determines purpose of visit, contacts appropriate party, and makes visitor comfortable while they wait.
- Answers and directs all incoming phone calls, takes and distributes messages promptly and accurately.
- Responds to residential living pendant calls and documents time and reason for calls.
- Manages incoming and outbound mail, accepts and logs packages, notifies recipients of package receipt, assists residents and employees with outbound packages/express mail and tracking when needed.
- Assists residents with copies and fax transmissions.
- Accepts and communicates transportation requests and follows up to ensure they are fulfilled.
- Gains thorough knowledge of emergency procedures and alarm systems; acts as point of contact throughout emergency situations until relieved.
- Accepts, documents, and distributes maintenance work requests, following up to ensure timely response.
- Maintains contact information for residents, employees, local attractions, and emergency organizations in an organized manner and maintains resident “Off Premises” log.
- Maintains accurate key logs for housekeeping, maintenance, and vehicles.
- Assists the business manager with administrative tasks as assigned.
- Attends training courses and participates in other professional development activities as required.
- Assists with light housekeeping duties and conducts rounding on premises.
- Performs receptionist duties in the healthcare center as assigned by the department manager.
- Assists with special projects assigned by department managers, prioritizes and completes projects in a timely manner, and abides by standards and practices set forth in the Corporate Code of Conduct.
- Adheres to the Organization’s Policies and Procedures covering Privacy and Security in compliance with HIPAA regulations.
- Other duties and responsibilities as assigned.
- Excellent verbal and communication skills.
- Ability to work effectively within a team‑based environment.
- Strong time management and organizational skills.
- Excellent computer skills, including Word, Excel, Outlook, and PowerPoint.
- Ability to efficiently operate all functions of the property telephone system.
- Thorough understanding of various alarm systems used in the community.
- Ability to communicate clearly and proficiently with people of all ages, maintaining an energetic and positive attitude.
- Clear, pleasant telephone voice.
- Ability to read and write English and follow verbal and written instructions.
- Ability to work flexible hours including weekends and evenings.
- High school diploma or college education strongly preferred.
- Ability to handle stressful situations while maintaining a calm, efficient demeanor.
Physical Requirements
- Ability to stand and walk short and long distances for extended periods.
- Ability to lift and/or carry objects more than 25 pounds.
- Requires reaching above, below, and at shoulder length.
- Ability to remain calm and positive in stressful situations.
