** Job Summary
** The Special Assistant to the Chief of Staff serves as a critical operational anchor for the Mayor’s Office. This high-visibility role demands an exceptionally organized, politically astute, and mission-driven professional who can seamlessly represent the administration’s priorities across Baltimore City government, with community partners, and in public-facing settings. The Special Assistant operates at the intersection of executive administration, policy, and administrativemanagement, balancing day-to-day operational demands with longer-horizon strategic initiatives.
This role requires a detail-oriented, highly organized individual with excellent judgment, expertcommunication skills, and the ability to manage competing priorities in a fast-paced environment. The ideal candidate has experience supporting senior-level executives, understands the nuances of government operations, has experience working in politics, and excels at project management, coordinating logistics, and preparing executive-level written materials.
** Essential Functions
** Executive Administrative Support and Calendar Management
* Manage and coordinate the Chief of Staff's calendar, including scheduling internal and external meetings, briefings, and other engagements.
* Track and prepare briefing materials and agendas for daily engagements, ensuring the Chief of Staff and Mayor are well-prepared and informed.
* Organize and maintain files, documents, and correspondence related to the Chief of Staff’s portfolio.
* Operate the electronic signatures of the Chief of Staff and Mayor.
Special Projects & Strategic Initiatives
* Undertake special assignments and projects as directed by the Chief of Staff.
* Coordinate with senior leadership, and external partners to advance priority initiatives, resolve implementation barriers, and sustain momentum.
Communications and Briefing Preparation
* Draft high-quality memos, letters, talking points, meeting summaries, and other written communications on behalf of the Chief of Staff.
* Coordinate with the Mayor’s Schedulers to oversee the briefing process for Mayoral events and engagements.
* Coordinate across offices and agencies to ensure senior leadership are prepared for meetings and engagements.
* Monitor and triage the Chief of Staff’s email, ensuring timely acknowledgment, appropriate escalation, and professional representation of the Office.
* Serve as a primary point of contact for internal and external stakeholders, building and maintaining trusted relationships across agencies, elected offices, and community organizations.
* Handle sensitive and confidential information with the utmost professionalism and discretion.
