Special Assistant To The Chief Of Staff
Salary Range: $73,897.00 - $ Annually
Hiring Salary Range: $73,897.00 - $96,206.00 Annually
Job Summary The Special Assistant To The Chief Of Staff serves as a critical operational anchor for the Mayor's Office. This high-visibility role demands an exceptionally organized, politically astute, and mission-driven professional who can seamlessly represent the administration's priorities across Baltimore City government, with community partners, and in public-facing settings. The Special Assistant operates at the intersection of executive administration, policy, and administrative management, balancing day-to-day operational demands with longer-horizon strategic initiatives.
This role requires a detail-oriented, highly organized individual with excellent judgment, expert communication skills, and the ability to manage competing priorities in a fast-paced environment. The ideal candidate has experience supporting senior-level executives, understands the nuances of government operations, has experience working in politics, and excels at project management, coordinating logistics, and preparing executive-level written materials.
Essential Functions Executive Administrative Support And Calendar Management
- Manage and coordinate the Chief Of Staff's calendar, including scheduling internal and external meetings, briefings, and other engagements.
- Track and prepare briefing materials and agendas for daily engagements, ensuring the Chief Of Staff and Mayor are well-prepared and informed.
- Organize and maintain files, documents, and correspondence related to the Chief Of Staff's portfolio.
- Operate the electronic signatures of the Chief Of Staff and Mayor.
Special Projects & Strategic Initiatives
- Undertake special assignments and projects as directed by the Chief Of Staff.
- Coordinate with senior leadership, and external partners to advance priority initiatives, resolve implementation barriers, and sustain momentum.
Communications And Briefing Preparation
- Draft high-quality memos, letters, talking points, meeting summaries, and other written communications on behalf of the Chief Of Staff.
- Coordinate with the Mayor's Schedulers to oversee the briefing process for Mayoral events and engagements.
- Coordinate across offices and agencies to ensure senior leadership are prepared for meetings and engagements.
- Monitor and triage the Chief Of Staff's email, ensuring timely acknowledgment, appropriate escalation, and professional representation of the Office.
- Serve as a primary point of contact for internal and external stakeholders, building and maintaining trusted relationships across agencies, elected offices, and community organizations.
- Handle sensitive and confidential information with the utmost professionalism and discretion.
- Performs other duties as assigned.
Minimum Qualifications
Education:
A bachelor's degree from an accredited college or university
AND
Experience:
At least two years of experience in performing strategic administrative, operational, and/or policy work at a professional level.
OR
Equivalency Notes:
Have an equivalent combination of education and experience.
Knowledge, Skills, and Abilities
- Previous experience in a fast-paced role, preferably within government, politics, education or another form of public service.
- Excellent written and verbal communication skills, with the ability to draft clear and concise communications.
- Strong organizational skills and attention to detail, with the ability to prioritize and manage multiple tasks effectively.
- Proficiency in using office productivity software (e.g., Microsoft Office Suite, Google Workspace).
- Knowledge of Baltimore City's government structure and key issues facing the community is a plus.
- Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.
- Flexibility to work occasional evenings or weekends, as required by office events or special projects.
- A positive and proactive attitude with the ability to work both independently and collaboratively in a team-oriented environment.
- Experience working on political campaigns or as a teacher/educator a plus.

Background Check Eligible candidates under final consideration for appointment to positions identified as positions of trust will be required to complete authorization for a Criminal Background Check and/or Fingerprint screening, and must be successfully completed.
Probation All persons, including current City employees, selected for this position must complete a 6-MONTH mandatory probation.
Financial Disclosure This position is required to complete a Financial Disclosure pursuant to Sections 7-7, 7-8, and 7-9 of the City Ethics Law. The initial financial disclosure must be submitted within 30 days of hire.
