Job Summary

This position provides event management services for internal and smaller meetings contracted at the Baltimore Convention Center (BCC) and offers administrative assistance to members of the Sales and Services department, including the Director of Sales and Services, the Assistant Director of Sales, the Assistant Director of Convention Services, and Sales Managers and Convention Services Managers. The incumbent assists with the overall administration of departmental needs and logistical planning for event execution.

The position reports directly to the Assistant Director of Convention Services.

Essential Functions Event Management
  • Provides logistical planning and event coverage for internal events, one‑day events, and multiple‑day events with typically fewer than 100 people or in conjunction with larger conventions assigned.
  • Provides backup event coverage and assistance to Convention Services Managers on assigned events.
  • Assists with conducting tours of the facility for groups and other interested parties.
  • Implements event planning, scheduling, and client reminder notices.
  • Assists with pre‑ and post‑walkthroughs when needed.
  • Communicates with clients on behalf of Convention Services Managers.
  • Disseminates information to appropriate departments, both internally and externally, as assigned.
Administrative Support
  • Coordinates Fire Marshall sign‑off on floor plans.
  • Assists with coordinating meeting room arrangements for internal meetings.
  • Assists with the creation of amenity packages for client distribution and tracks related inventory.
  • Researches events for Sales Managers and Convention Services Managers as needed.
  • Assists with the development of diagrams for Sales Managers and Convention Services Managers as needed.
  • Creates, prepares, and distributes weekly and monthly reports as assigned.
  • Compiles event coverage schedules and times for service partners, department managers, supervisors, and technicians.
  • Creates and prepares materials and presentations for site tours and pre‑conference meetings.
  • Performs other administrative functions for the department as assigned.
Minimum Qualifications

Education:

A bachelor’s degree in business management, facility management, hospitality, or a related field from an accredited college or university.

Experience:

One year of experience in event management, business management, facility management, hospitality, or a related field.

Equivalency:
An equivalent combination of education and experience.

Knowledge, Skills, and Abilities
  • Experience in event management within the hospitality industry.
  • Knowledge of standard business operating systems and software (Windows).
  • Knowledge of web‑based applications.
  • Effective communication skills, both oral and written.
  • Ability to establish effective working relationships with co‑workers and clients.
  • Ability to work flexible schedules and shift arrangements as required by events.
  • Experience with Adobe Creative Suite is a plus.

Background Check:
Eligible candidates under final consideration for appointment to positions identified as positions of trust will be required to complete authorization for a Criminal Background Check and/or Fingerprint screening, and the credential must be successfully completed.

Probation:
All persons, including current City employees, selected for this position must complete a 6‑MONTH mandatory probation.
