Financial Disclosure

As a state employee, you may be required to file an annual Financial Disclosure with the State Ethics Commission. If you are required to file, you will be notified by the Judiciary Human Resources Division and must file within 30 days of employment and no later than April 30th of each subsequent calendar year.

Essential Job Functions

The main purpose of this position is to process civil/rent filings/pleadings in the Baltimore City Civil Division. Duties include preparing case files and reviewing documents for accuracy, preparing and typing dockets, indexing new cases, forwarding files to chambers for a ruling, updating case information in the system, typing court notices and transmittals, pulling files, and filing back files/paperwork, preparing weekly docket counts, stripping and purging cases, and opening, sorting, and distributing mail.

Training other staff as appropriate. Assisting customers, attorneys, and other agencies in person and via the telephone and mail. Assisting customers at the counter. Performing cashier functions on an as needed basis and other duties as assigned by management.

Essential Duties And Responsibilities
  • Preparing case files and reviewing documents for accuracy, preparing, and typing dockets, indexing new cases, forwarding files to chambers for a ruling, updating case information in the system.
  • Stripping rent notices and civil cases, processing warrants of restitutions, processing appeals, shifting, and purging files.
  • Typing court notices and transmittals, pulling files, and filing back files/paperwork, preparing weekly docket counts, and training other staff as appropriate.
  • Customer Service:
    Assisting and answering questions for customers, attorneys, and other agencies by telephone and in person.
  • Opening, sorting, and distributing incoming mail.
  • Perform cashier functions on an as needed basis and other duties as assigned by management.
Minimum Qualifications
  • Education:

    High school diploma (or GED equivalent).
  • Experience:

    One (1) year of work experience, preferably in court operations or in the fields of criminal justice, parole and probation, legal or financial services.
Note
  • A bachelor?s degree may substitute for the required work experience.
  • A Paralegal/associate?s degree or 60 college credits may substitute the required work experience.
  • A Paralegal Certificate May Substitute The Required Work Experience.
Knowledge, Skills, and Abilities Knowledge Of
  • General office practices, procedures, and equipment.
  • Standard legal forms and documents used in the Judiciary.
  • Basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.
Skill In
  • Customer service and handling problems tactfully and patiently.
  • Typing on a personal computer.
  • Accuracy and attention to detail.
Ability To
  • Use standard office and business equipment including, but not limited to, personal computers, word processing, spreadsheets, database software, copier, microfilm machine, register, scanner, fax machine, etc.
  • Use and maintain alphabetical and numerical filing systems.
  • Communicate clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and other court officials and personnel, both verbally and in writing.
  • Understand and abide by departmental rules, regulations, and procedures.
  • Exercise tact, diplomacy, and impartiality in dealing with the public, law enforcement personnel, and attorneys.
  • Follow procedures, verbal and written instructions, and protocols for any given assignment.
  • Use proper grammar, punctuation, and spelling.
  • Multitask and adapt to change in a fast-paced environment.
Physical Requirements

Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.
