Job Summary Baltimore City Department of Recreation & Parks is seeking to hire a Community Aide (Assistant Rental Coordinator).

Assistant Rental Coordinator will serve the Department of Recreation & Parks supporting the Rental Program at Cylburn Arboretum and the Rawlings Conservatory under the guidance of the Rental Coordinator.

Essential Functions

  • Sales, coordination and contracts for rentals and special events; provide facility tours.
  • Make and/or take potential customer calls, and sell event spaces, rooms, tables, chairs, and other equipment
  • Follow all standard policies and procedures in handling reservations. Meet with clients to discuss their requirements for the event, such as number of guests, appropriate size of room and costs and prepare proposals as needed.
  • Direct, coordinate and arrange for meetings and special events of various sizes.
  • Work with day and evening groups and banquet businesses including weddings, rehearsal dinners, luncheons, dinners, receptions, dances, anniversary events, business and club meetings, family reunions, holiday parties and all meeting functions.
  • Supervise event staff during events to ensure the quality of service for every event; including scheduling of event staff in advance.
  • Serve as the primary contact between contractors, clients, organizers and organizations to ensure smooth execution of all functions supporting the programs and events.
  • Attend to any problems or challenges that may arise during an event or any complaints concerning services provided promptly and to the client's satisfaction; prepare reports as needed.
  • Ensure safety of clients, vendors, and guests; address issues as they arise. Assist with coordination of annual marketing event(s) for venues. Manage/oversee social media accounts.

Minimum Qualifications

  • Must be available to work evenings and weekends.
  • Must possess the ability to deal with the public in a courteous manner, use independent judgment in certain situations, think and act quickly in an emergency. Must be able to pass a drug and alcohol test.
  • Must be at least 18 years of age and have reliable transportation – a valid noncommercial Class C motor vehicle operator's license is required.
  • Must have above average oral and written communication skills and be comfortable providing customer service and interacting with people.
  • Associate degree and 3 years planning special events. 5 years of experience planning weddings or special events may substitute for degree requirements.

Equivalency Notes:
Have an equivalent combination of education and experience.

Licenses, Registrations, and Certificates:
Have a valid Maryland Class C Noncommercial driver's license or an equivalent driver's license and be eligible to obtain a Baltimore City driver's permit . PROVISIONAL DRIVER'S LICENSES ARE NOT ACCEPTABLE.
