Admissions Specialist
Reporting to the Assistant Dean of Admissions and Recruitment, or designee, the Admissions Specialist supports the daily operations of the Office of Admissions and Recruitment. This position serves as a primary point of contact for prospective, new, and returning students, providing guidance throughout the admissions process, including application completion, onboarding requirements, and enrollment-related inquiries. The Admissions Specialist is responsible for delivering timely and accurate communication to students, documenting interactions, monitoring follow-up activities, and maintaining student records in Ellucian CRM Recruit and Banner.
The position also supports recruitment and enrollment efforts by ensuring a high level of customer service and fostering a positive student experience.
Responsibilities include:
- Responds to student inquiries by phone, email, virtually and in person.
- Provides front counter support for the Office of Admissions and Recruitment.
- Assists students with completing the online admissions application and understanding next steps.
- Communicates admissions requirements, onboarding steps, transcript requirements, placement testing next steps, and general enrollment information.
- Uses Ellucian CRM Recruit to document student communication, track inquiries, enter notes, monitor application status, and manage follow up.
- Uses Banner and CRM Recruit to review student records, update admissions information, and support application processing.
- Supports CRM Recruit communication plans, applicant lists, student outreach, event rosters, and follow up campaigns.
- Assists with information sessions, workshops, campus tours, recruitment events, and open houses.
- Performs back-office admissions functions, including reviewing, organizing, and processing application materials and transcripts.
- Supports admissions reporting, student tracking, and workflow improvements.
- Maintains professional, accurate, and student-centered communication with students, families, staff, and campus partners.
- Ability to work flexible hours, including occasional evenings and weekends, to support recruitment and enrollment activities.
- Performs other duties as assigned.
Required qualifications include:
- Associate's degree from an accredited institution in Higher Education, Education, Business Administration, Communications, Human Services, or a related field.
- Minimum of two (2) years of experience in admissions, enrollment management, student services, customer service, higher education, or a related field.
Preferred qualifications include:
- Bachelor's degree from an accredited institution in Higher Education, Education, Business Administration, Communications, Human Services, or a related field.
- Minimum of three (3) years of experience in admissions, enrollment management, student services, customer service, higher education, or a related field.
- Experience using Ellucian Banner, CRM Recruit, or similar student information and enrollment management systems.
- Bilingual proficiency in English and Spanish or another language commonly spoken within the College's service area.
- Experience conducting outreach, recruitment events, campus tours, presentations, and enrollment workshops.
- Knowledge of admissions, enrollment, residency determination, financial aid, registration, and student support services.
Knowledge, skills, and abilities include:
- Demonstrated ability to provide exceptional customer service to diverse populations, including prospective, current, and returning students.
- Experience explaining policies, procedures, and requirements in a clear and professional manner.
- Strong verbal and written communication skills, with the ability to communicate effectively with students, families, faculty, staff, and community partners.
- Excellent organizational skills and attention to detail, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Ability to maintain confidentiality and handle sensitive student information in compliance with FERPA and institutional policies.
