Project Manager - Fearless Institute

As a Project Manager supporting the Technology Growth Initiative (TGI), you serve as the operational backbone of the Institute—the trusted link connecting the organization, its funders, its Board of Directors, and its non‑profit management partner. You bring structure, clarity, and follow-through to a mission‑driven organization, ensuring compliance is upheld, strategic goals stay on track, and financial reporting is accurate and transparent.

Operating independently in a part‑time, temporary capacity, you keep the many moving parts of the Institute aligned, communicate with confidence across every stakeholder group, and drive the initiative steadily toward its key results. This role requires approximately 15 hours per week and is expected to support the Institute from mid‑August to the end of March 2027.

The Impact You Will Create
  • Keeping the organization compliant and audit‑ready, safeguarding its relationships with funders and its standing with the Board.
  • Giving the Executive Director and Board Finance Committee clear, consistent visibility into operations, milestones, and finances.
  • Advancing the Institute’s Objectives and Key Results (OKRs), ensuring strategic goals move from intention to measurable progress.
Your Responsibilities In This Role Vendor, Funder & Board Liaison
  • Serve as the primary point of contact between the Institute and its non‑profit management company (currently Fearless Solutions).
  • Monitor all management agreements to ensure they are fully executed and that services are delivered as contracted.
  • Oversee subcontract agreements, ensuring deliverables are completed on time and within scope.
  • Provide the Board of Directors with consistent, structured monthly communications on organizational updates and milestones.
  • Complete and submit required quarterly grant updates and progress reports to funders.
Operations & Strategic Management
  • Act as the primary project and task manager for the Institute’s Objectives and Key Results (OKRs).
  • Schedule, prepare materials for, and lead quarterly Institute team OKR review meetings.
  • Support the Executive Director with fundraising initiatives and donor relations management.
Financial Oversight & Audit Support
  • Ensure financial billing, expense tracking, and record‑keeping are accurate, compliant, and up to date.
  • Provide detailed monthly accounting and cashflow updates to the Executive Director and the Board Finance Committee.
  • Serve as the main point of contact and operational lead for the annual non‑profit audit.
Key Deliverables
  • Monthly Board Update & Health Report – a structured report detailing operational milestones, risks, and OKR progress.
  • Monthly Financial Packet – cashflow updates and accounting summaries delivered to the Executive Director and Board Finance Committee.
  • Quarterly Grant Reports – completed compliance and progress updates submitted to funders.
  • Quarterly OKR Reviews – organized and facilitated review sessions, with tracking data updated in the Institute’s project management system.
  • Audit Documentation – organized files and direct support provided to auditors during the audit window.

Skills and Qualifications

Non‑Profit Operations & Compliance

  • Familiarity with non‑profit operations, grant compliance, and funder reporting requirements.
  • Understanding of management and subcontract agreements and how to hold vendors accountable to scope and deliverables.

Financial Oversight & Accounting

  • Strong grasp of billing, expense tracking, cashflow, and non‑profit financial record‑keeping.
  • Experience supporting or coordinating an annual audit, with the ability to organize documentation for auditors.

Communication & Stakeholder Management

  • Excellent written and verbal communication skills, with the ability to produce clear, structured reports for Boards, funders, and leadership.
  • Proven ability to serve as a trusted liaison across multiple stakeholder groups, including funders, board members, and management partners.
