Responsibilities
- Oversee day‑to‑day clinic operations, ensuring smooth workflow.
- Plan, organize, schedule, and distribute workload among team members.
- Coordinate clinic policies and procedures for compliance with company standards.
- Provide support for daily clinic operations in partnership with the Clinical Director.
- Participate in performance‑management discussions with the Clinical Director and Lead BCBA.
- Supervise daily operations and staff schedules to ensure full coverage.
- Oversee in‑clinic orientation and track progress.
- Provide onboarding support for new team members.
- Handle front‑desk activities: greeting visitors, coordinating client and family interactions, and managing phone communications.
- Serve as the initial escalation point for client and family inquiries.
- Collaborate with centralized scheduling to optimize client and staff schedules.
- Monitor and adjust daily schedules and resource allocations as needed.
- Organize, schedule, and facilitate monthly team meetings.
- Coordinate with the Clinic Director on workflow changes, schedule adjustments, and operational changes.
- Manage attendance and ensure accurate time records.
- Participate in onboarding and off‑boarding processes, including logistics and device collection.
- Perform additional duties as assigned.
- Bachelor’s degree in healthcare, business administration, or a related field.
- Three years of progressive leadership experience in a healthcare facility or clinic.
- Previous supervisory experience preferred in registration or clinic operations.
- Knowledge of basic customer‑service principles and practices.
- Proficiency with client or medical database systems.
- Excellent verbal and written communication skills.
- Knowledge of medical terminology.
- Familiarity with ABA terminology or ability to learn.
- Strong organizational skills and ability to deliver high‑level customer service.
- Team‑player with communication skills across all organizational levels.
Physical Requirements
Occasional lifting and transport of items up to 25 pounds. The role requires prolonged standing, frequent movement within the clinic, and frequent rising from a seated position.
Work may involve exposure to bodily fluids, odors, fluctuating temperatures, and occasional loud noises due to the nature of the clinic environment.
