Creative Alliance is looking for a highly proactive Executive Assistant (EA) to partner with our Executive and Deputy Director in shaping the future of one of Baltimore’s most vibrant, community-rooted arts organizations.

What You’ll Actually Do
Be a proactive thought partner
- Manage and protect the ED’s time like a hawk—prioritizing what matters and anticipating needs before they’re voiced
- Own communications: triage emails, draft smart responses, and write clean, on-brand content for donors, partners, and staff
- Prep materials and agendas proactively
- Conduct research to support fundraising, partnership development, donor cultivation, and other strategic initiatives.
Run the board like a well-oiled machine
- Be the go-to for all board communications, meetings, and follow-ups
- Ensure trustees are engaged, aligned, and activated—coordinating logistics and surfacing next steps
- Keep board materials timely, meetings productive, and communication clear
Drive cross-team execution
- Track org-wide priorities and help leadership stay accountable to timelines and deliverables
- Liaise with directors to consolidate information for reports, grants, and strategic goals
- Support internal meetings and projects—from ideation to implementation
Who You Are
- Proactive by nature.
- An excellent communicator. You write well, speak with clarity, and know how to tailor your tone depending on the audience.
- Detail-obsessed.
- Technologically fluent. You’re quick with new systems and not afraid to tinker.
Experience & Qualifications That Helps
- BA Degree and/or experience in arts administration, nonprofit, or related field preferred.
- 5+ years in executive support, operations, or project management (nonprofit experience a plus)
- Familiarity with Microsoft 365, CRMs (like Salesforce), and project tools (like or Airtable)
- Past experience working directly with leadership or boards is a big bonus
- Ability to speak Spanish desired.
- Able to lift 40 lbs.
- Hybrid: 3 days/week on-site in Baltimore
- Open to: experienced EAs looking for a part-time role (~20 hrs/week)
- Compensation: $25/h
- Must attend major board meetings and donor events (some evenings/weekends required)
