Position: Operations Specialist - 3PL

The Operations Specialist is responsible for coordinating and optimizing daily transportation and logistics activities for a fast-paced third‑party logistics (3PL) operation. This role serves as a key liaison between customers, carriers, drivers, warehouses, and internal teams to ensure timely, cost‑effective, and efficient movement of freight while maintaining exceptional service levels.

The ideal candidate is highly organized, detail‑oriented, and experienced in transportation operations, carrier management, freight scheduling, shipment tracking, and customer communication.

Key Responsibilities Transportation Operations
  • Coordinate daily freight movements across truckload (TL), less‑than‑truckload (LTL), intermodal, and dedicated transportation networks.
  • Dispatch and schedule shipments while ensuring on‑time pickup and delivery performance.
  • Monitor loads from tender through final delivery and proactively address service interruptions.
  • Track freight movements and provide real‑time shipment status updates.
  • Ensure freight appointments are scheduled and communicated accurately.
  • Develop and maintain relationships with carriers and transportation providers.
  • Source carrier capacity to support customer requirements.
  • Negotiate transportation rates and assist with load coverage.
  • Verify carrier compliance, insurance documentation, and safety requirements.
  • Monitor carrier performance and service metrics.
Customer Service & Communication
  • Serve as the primary point of contact for customer inquiries regarding shipments and transportation activities.
  • Communicate delays, service issues, and recovery plans to customers.
  • Maintain accurate shipment records and transportation documentation.
  • Support customer onboarding and implementation initiatives.
Operations & Process Improvement
  • Ensure all shipments are entered and managed accurately within the TMS.
  • Analyze transportation performance data and identify opportunities for efficiency improvements.
  • Monitor KPIs including on‑time delivery, tender acceptance, detention, accessorials, and freight costs.
  • Assist in developing and implementing SOPs and best practices.
  • Support continuous improvement initiatives across transportation operations.
Administrative Responsibilities
  • Review shipment paperwork, PODs, invoices, and freight billing documentation.
  • Assist with claims processing, service recovery, and issue resolution.
  • Generate operational reports and customer scorecards.
  • Maintain compliance with company policies and transportation regulations.
Required Qualifications
  • High School Diploma or GED required;
    Associate's or Bachelor's degree preferred.
  • 2+ years of experience in transportation, logistics, dispatch, brokerage, supply chain, or 3PL operations.
  • Experience working with Transportation Management Systems (TMS).
  • Strong understanding of freight operations, routing, carrier management, and transportation compliance.
  • Proficiency with Microsoft Excel, Outlook, and Office applications.
  • Excellent multitasking and problem‑solving abilities.
Preferred Qualifications
  • Experience in freight brokerage or asset‑based transportation environments.
  • Knowledge of DOT regulations and transportation compliance requirements.
  • Experience with load boards such as DAT or Truckstop.
  • Familiarity with ERP and logistics platforms including Oracle, SAP, Mercury Gate, McLeod, or similar TMS systems.
  • Understanding of TL, LTL, intermodal, final‑mile, and dedicated transportation operations.
