Manager – Administration & Facility

JOB PURPOSE
To oversee and manage all administrative and facility-related operations ensuring smooth functioning of office infrastructure, compliance with safety standards, and efficient support services for employees.
KEY RESPONSIBILITIES
Facilities Management
Ensure proper maintenance of office premises, utilities, and equipment.
Manage housekeeping, security, and pantry services.
Oversee vendor management for facility services and negotiate contracts.
Implement preventive maintenance schedules for electrical, HVAC, and other systems.
Administrative Operations
Supervise front desk, travel desk, and courier services.
Manage office supplies, procurement, and inventory control.
KEY SKILLS &
COMPETENCIES:
Ensure compliance with statutory requirements related to facilities and administration.
Handle lease agreements and coordinate with landlords for property-related matters.
Health, Safety & Compliance
Implement workplace safety protocols and emergency preparedness plans.
Conduct regular audits for fire safety, hygiene, and security.
Budgeting & Cost Control
Prepare and monitor budgets for administration and facility management.
Optimize costs without compromising quality and safety standards.
People & Stakeholder Management
Lead and motivate the admin and facility team.
Coordinate with internal departments for smooth operations.
EDUCATIONAL QUALIFICATIONS
Graduate/Postgraduate in Business Administration or related field.
8–12 years of experience in administration and facility management.
Exposure to compliance, safety standards, and vendor management.
Strong knowledge of facility management and administrative processes.
Vendor negotiation and contract management skills.
Budgeting and cost optimization expertise.
Excellent communication and interpersonal skills.
Problem-solving and crisis management ability.
