ASCENTIS is looking for a senior professional to join its commercial team in charge of tenders and contracts.
Job Responsibilities:
Tender administration
a. Knowledge / exposure of FIDIC contract terms/ clauses.
b. Oversee the Pre-Contract Team to ensure tendering processes is followed for multiple projects.
c. Ensure that established SOP /commercial practices which includes the contractual conditions, tender information, bid philosophy etc. are followed in awarding tenders and associated communications.
d. Review and approve Pre-qualification report for Contractors & vendors for various disciplines.
e. Review and guide the pre contract team for tender analysis, coordination with technical team for technical analysis of bids and timely issue of tender reports.
f. Lead tender adjudication meeting and assist/ participate with client team in commercial negotiation for tender award.
g. Ensure timely award documentation completion of back up file associated with tender documentation.
h. Ensure quality and timely issuance of fortnightly progress reports and tender events schedule.
Post Contract QS
a. Supervise and guide the post contract QS team at sites in establishing process for methodical processing of contractor payments.
b. Budget tracking and forecasting cost to completion
c. Lead the site teams in contractors’ claim adjudication.
d. Review and approve project cash flow forecasts associated on monthly basis.
e. Monitor/ review the change orders and all post contract administration for the project management team, including negotiating changes with contractors, notifying cost implications of changes etc.
f. Budget tracking and forecasting cost to completion.
Develop and maintain a framework to ensure proper documentation is maintained and proper audit trail is available for all payment processing up to the final bill certifications.
g. Periodic audit of site post contract works and assist in final statements.
Procurement
a. Should have fair knowledge of Hospitality projects procurement, p articularly of FF&E, imports, and experience of handling multiple projects:
b. Direct and manage the procurement team and establish/ refine SOPs for local procurement as well as imports and run the processes efficiently:
c. Ensure quality/ timely issue of Fortnightly procurement reports
d. Ability to implement various cost control measures/ work on tight budgets and timelines.
e. Ability to build a strong vendor network
Cost Management
a. Review and Track Preliminary Budget
b. Prepare periodic cost control / management to ensure tenders and procurement is aligned with approved budget.
c. Forecasting of major budget deviations with reasons to ensure an informed decision.
Development of processes
Ability to develop/ refine various processes / SOP for various aspects of commercial functions.
Experience:
o BE/
B.Tech ( Civil / Arch.) from leading university
o Minimum 15 years of hands-on experience in Civil & high-end finishes/interiors
o Exposure in working with a professional QS or Project management organization.
Skills required:
o Excellent leadership skill and proactive method of working
o Proficient with MS Word, Excel and MS Project planning software
o Good interpersonal and communication skills ability to motivate and lead the project team, assign individual objectives, and ensure quality of deliverables for self as well as the team.
o Good command of spoken and written English and ability to prepare clear, concise reports for client and management
