Overview
Manager of Advancement Services has responsibility for managing all functions in the Office of Advancement Services that are essential to the effective and efficient execution of the institution’s fundraising and university relations efforts. Those functions include, but are not limited to, ensuring that donor intentions are honored, gift processing and receipting are accurate and timely, development database management is clean and accurate, reporting is accurate and timely, and donor records are organized.
Responsibilities- Works as part of an integrated team to establish overall goals and strategies for increasing private support to the University.
- Manages daily functions of the Advancement Services office and provides professional support to the staff in implementing financial processes, special events, prospect management, donor recognition, donor stewardship and other related activities, database management, donor history, and financial reports.
- Supervises and provides leadership to direct report, the Gifts and Biographical Records Assistant, in accordance with the Office of Advancement’s goals.
- Assists in segmentation and list development for Advancement communications.
- Supports advancement staff fundraising activities related to major gifts, planned gifts and corporate and foundation philanthropy and participates in the cultivation of gift prospects when appropriate.
- Facilitates access and provides training on the University’s fundraising database to other members of the University’s staff.
- Develops detailed gift reports for Advancement, Finance, and other parties as determined by the Vice President of Advancement.
- Maintains a comprehensive and accurate fundraising database to include all alumni records and all past and prospective donors and event registrants.
- Manages documentation of policies and procedures for all day‑to‑day functions of the Advancement Services office.
- Works with Finance Department to reconcile monthly activity, generate year‑end reports, and fulfill tax‑related requirements.
- Uses external prospect research techniques and tools to identify new prospects. Completes donor background requests, including periodic and electronic screening through databases such as Lexis Nexis, Foundation Directory, Guide Star and others.
- Creates profile reports (donor bios and analysis) tailored to the needs of individual development programs and future use of the development team.
- Maintains the integrity of digital and physical donor documentation.
- Other duties may be assigned as needed.
Education and/or Experience
- Bachelor's degree preferred, or equivalent experience
- Experience managing complex relational databases
- Expertise in Microsoft Excel
- Strong organizational skills and attention to detail
- Experience with Blackbaud/Raisers Edge
- Must be able to work independently and without supervision.
- Have excellent written and oral communication skills and be proficient with Microsoft Office products.
- Experience with Raiser’s Edge is preferred.
- Needs to have attention to detail, good judgment and mature decision‑making abilities.
- The ability to maintain confidentiality and the aptitude to work closely with donors and recipients is essential.
- Occasional evening, weekend, travel and overnight work is required.
