Job Title:
Administrative Assistant
The primary function of this role is to provide administrative support to the executive office. Duties include general clerical, planning, organizing, and project‑based work. Display a professional company image through in‑person and phone interaction.
This job requires the ability and desire to work in a fast‑paced multi‑tasked environment with a focus on administration, organization, reporting, and data management.
Essential Duties & Responsibilities- Attend and take notes at all meetings as requested.
- Assist in organizing company training, large meetings, dinners, etc. as requested.
- Print emails and/or any other documents as requested.
- Request, track, and print weekly job site reports from project managers.
- Assemble presentations folders.
- Manage coffee and vending machines for the corporate office.
- Collect and print all job site pictures and forward to designers or other employees as needed.
- Backup headcount sheet coordination.
- Serve as the back up to the other Executive Administrative Assistants when needed.
- Follow‑up on job site visits and meeting notes and update as needed.
- Assist in itemized tasks and action items from meetings and visits.
- Coordinate company pictures, collages, and corporate signage as needed.
- Perform any other duties as assigned by the executives.
- High school diploma or GED is required.
- 3+ years of experience in an administrative role is required.
- Construction industry experience is a plus.
- Significant experience with Microsoft Office applications (i.e. Word, PowerPoint, Excel) is required.
- Knowledge of general office machines and telephone systems is required.
- Ability to think strategically, make sound decisions, and produce accurate and timely results is required.
