Administrative Assistant – VP Fabrication & Warehousing
S.A. Comunale is seeking an Administrative Assistant - VP Fabrication & Warehousing. The primary function of this role is to provide administrative support to the VP of Fabrication Shop and Warehousing. Duties include general clerical, payroll preparation, planning, organizing and project-based work. Display a professional company image through in-person and phone interaction.
This job requires the ability and desire to work in a fast-paced multi-tasked environment with a focus towards administration, organization, reporting, and data management.
Essential Duties & ResponsibilitiesPrimary duties and responsibilities include the following. Other duties may be assigned.
- Schedule appointments for individuals requesting to meet with VP Fabrication & Warehousing.
- Schedule travel and manage calendar.
- Provide complete administrative support services for the Fabrication Shop.
- Create and process purchase orders for the fabrication shop and maintenance department.
- Assist in inventory tracking.
- Assist in the entering and tracking of fab shop and driver payroll.
- Assist in entering and maintaining job entries in production database(s) (FMS, CRM, ERP, Pick, TCMS).
- Enter and maintain fab shop employee attendance files.
- Assist in the print and assembly of driver’s delivery packets.
- Maintain contact list and addresses for shop employees and drivers.
- Assist in obtaining job site blue prints and send to job sites.
- Assist in invoice paperwork for workers from temp agencies.
- Distribute incoming mail.
- Maintain FMS updates.
- Review “Jobs in Design Report” and contact those necessary for updates.
- Review “Job Board Tracker” and update shop schedule(s) as necessary.
- Attend meetings, record meeting notes and update action items.
- Any general administrative tasks assigned by management.
- Communicate and follow up with field employees as necessary.
- High school diploma or GED is required.
- 5+ years of previous administrative experience is required.
- Previous experience in a manufacturing environment is a plus.
- Previous experience in the construction or fleet industry is a plus.
- Proven knowledge of Microsoft Office Applications (i.e. Word, PowerPoint, Excel) is required.
