We are seeking an organized, proactive Project Coordinator to serve as the operational bridge between our field teams and back-office operations. In this role, you will maintain accurate project data, support billing and compliance requirements, provide key administrative support to Superintendents, and conduct regular site visits to keep projects moving seamlessly while helping build systems that scale.
Key Responsibilities- Field Data & Operational Tracking
:
Enter field logs, equipment hours, labor hours, and material quantities into Heavy Job; audit daily submissions from Superintendents for accuracy; translate field notes into standardized digital records. - Billing & Compliance
:
Prepare accurate billing backup and pay application documentation for corporate clients and general contractors; manage submittals, lien waivers, and pristine project documentation in coordination with accounting. - Field Engagement & Coordination
:
Conduct weekly or bi-weekly site visits to maintain visibility with field crews, build strong working relationships, and serve as a communication bridge between the field and back office. - Process Improvement
:
Identify operational bottlenecks, help transition informal processes into structured digital systems, and recommend practical solutions to support company growth. - Project & Material Support
:
Assist with material ordering, vendor coordination, and general administrative needs across the project lifecycle.
While the initial focus centers on data entry, documentation, billing support, and field coordination, this role is designed to evolve as the company grows. Based on performance and career goals, high performers will have opportunities to expand into procurement, estimating, or advance into a broader Project Management role.
Qualifications & SkillsRequired:
- 2+ years of experience in construction, project coordination, project administration, or a related field.
- Strong organizational skills and exceptional attention to detail.
- Ability to manage multiple projects, priorities, and deadlines.
- Strong communication skills and the ability to work effectively with both field and office personnel.
- Comfortable working in a construction/field environment and conducting regular jobsite visits.
- Strong computer skills and the ability to learn new software and systems quickly.
- A proactive, problem-solving mindset with the ability to identify issues and follow through to resolution.
Preferred:
- Experience with Heavy Job, HCSS, Procore, or similar construction management software
. - Experience with excavation, sitework, heavy civil, utilities, grading, or other construction operations.
- Experience with pay applications, lien waivers, construction billing, or project compliance documentation.
- Experience coordinating materials, vendors, or subcontractors.
- Interest in developing toward a Project Manager, Estimator, or Procurement role.
