General Summary

The Assistant Manager lives VIP’s mission to earn automotive customers for life by learning the VIP culture and management processes to help the Service Manager ensure that all customers get a different, better experience. As the second in charge at the location, the Assistant Manager must lead the team when the Service Manager is unavailable, ensuring effective communication, teamwork, and operation.

The Assistant Manager ensures that the team operates under safe conditions according to established policies and procedures and complies with federal and state regulations, delivering an exceptional customer experience and high‑performance results through VIP programs.

Responsibilities
  • Prioritize workplace safety: Follow all safety policies, complete all safety‑related training, lock out any unsafe equipment, and report unsafe conditions to Management.
  • Serve customers: Consult and build relationships, following VIP processes to educate customers about the condition of their vehicle.
  • Customer engagement: Achieve better than average success measured by VIP Sales & Execution (SAX) score.
  • Manage administrative tasks: Learn and execute all managerial activities assigned by the Service Manager and help lead the team in delivering a better customer experience.
  • Learn VIP’s processes and internal responsibilities.
    • Help the Service Manager develop a superior team.
    • Ensure all associates have completed and passed required LMS training.
    • Ensure associates complete all relevant vendor training.
    • Ensure all associates are T.I.A basic automotive service certified.
    • Sign up associates and provide study material for applicable ASE certifications.
  • Communicate with the team: Daily huddles and bi‑monthly store meetings.
  • Monitor e‑mail: Monitor for customer appointments and communication.
  • Train and support: Deliver the 5 for 5 process to educate customers about vehicle conditions and partnering on solutions.
  • Dispatch work orders: Assign to the first available technician capable of performing the work.
  • Attend off‑site meetings and trainings: As needed, typically several times per year.
  • Facility and Equipment Maintenance
    • Maintain satisfactory maintenance, appearance, and condition of the facility to comply with security, safety, and environmental codes.

    • Manage daily preparation of location and service desk prior to business start and recovery/unclaimed vehicles at close.
    • Maintain a clean service department during business day.
    • Inspect customer waiting area and parking lot for cleanliness each day before opening.
    • Enter facility or equipment issues into the database.
  • Procedural Compliance
    • Enforce strict compliance with the service Code of Ethics and all municipal, state, and federal regulations.
  • Additional Responsibilities
    • Communicate with other levels of management to ensure compliance with service standards and company policies.
    • Serve as policy administrator in the assigned location when Service Manager is absent.
  • Performance Measurement
    • Support the Service Manager in achieving all targeted performance levels as outlined by leadership through daily, weekly, and monthly reports.
  • Standard Management Work Week
    • Schedule: 5‑day work week, 40 hours per week.
    • Attendance: Arrive prior to shift, ready to perform duties at start time, and work all scheduled hours as directed.

    • Excellent verbal and written communication.
    • Sound business sense with ability to analyze, prioritize, and implement solutions.
    • Strong organization and time management skills.
    • Comprehensive understanding of automotive servicing and industry.
  • Minimum Education and Experience
    • Two years related experience in automotive service management.
    • Completion of a two‑year college or technical school program recommended.
    • Or an equivalent combination of education and experience.
  • Certifications, Licenses, and Registrations
    • Current, valid driver’s license issued in state of residence.
    • ASE Certification P2 – Parts Specialist recommended.
