Description

The Branch Administrator will execute day‑to‑day operational, administrative, and agent‑retention tasks to support the branch’s corporate objectives. The role includes implementing customer service and training initiatives, assisting management with recruitment, and ensuring compliance. Active trading is not permitted during employment in this role.

Responsibilities
  • Respond to general phone inquiries and distribute incoming paperwork.
  • Collect deposit cheques from agents/buyers, prepare receipts, enter deposit information into Lone Wolf, and physically deposit money at the bank.
  • Assist agents in setting up profiles in Broker Bay and Lone Wolf, processing paperwork, and handling RECO registrations and renewals.
  • Handle incoming TREB/CORNERSTONE violations and follow up with agents.
  • Prepare welcome and recruiting packages for new agents and assist in orientation meetings.
  • Manage and follow up on RECO registration renewals and reinstatements.
  • Ensure TREB, OREA, RECO dues are paid.
  • Submit order‑form charges to accounting.
  • Prepare and schedule a monthly activity calendar.
  • Maintain general office upkeep, agent workstations, hospitality area, order office supplies, and manage photocopier codes.
  • Follow up with commission cheques for other brokerages and lawyers’ offices, updating Lone Wolf with notes and updates to deal secretaries.
  • Rectify board violation notices.
  • Manage agents’ replacements when on holidays.
  • Other duties as assigned by the branch manager.
  • Handle the health and safety aspects of the branch.
Qualifications
  • 5+ years of experience in the residential real estate industry is an asset.
  • Knowledge of Lone Wolf real estate software is an asset.
  • Knowledge of Broker Bay is an asset.
  • Proficient with Microsoft Office (Outlook, Excel, PowerPoint).
  • Creative problem‑solving skills with high attention to detail and strong organizational abilities, able to work in a fast‑paced office.
  • Customer‑service orientation with excellent English verbal and written communication skills.
  • Ability to multitask and meet deadlines.
