Position and Location

Administrative Assistant
, located in Barrie, ON.

Compensation & Benefits

Part‑Time Option:

  • $34,000 – $38,000 annually
  • Monday to Friday, 10:00 AM – 4:00 PM
  • Half‑hour paid lunch
  • Salary based on experience

Full‑Time Option:

  • $45,000 – $50,000 annually
  • Monday to Friday, 9:00 AM – 5:00 PM
  • One‑hour paid lunch
  • Salary based on experience
Additional Benefits

  • 3 weeks paid vacation to start
Key Responsibilities
  • Process post‑meeting administrative tasks including opening accounts, placing trades, setting up PACs and AWDs, and completing T2033 transfers
  • Securely upload client documentation to Head Office and CRM systems
  • Create and maintain accurate client files and records
  • Follow up on transactions to ensure timely and accurate completion
  • Process client requests including withdrawals, address changes, PAC updates, and related account servicing
  • Coordinate and send review requests through email and phone communication
  • Assist with gathering information required for financial projections and reporting
  • Schedule and confirm client review appointments through follow‑up calls and emails
  • Maintain filing systems and ensure documentation is organized and up to date
  • Provide skilled and responsive customer service to clients and internal stakeholders
Qualifications & Skills
  • Minimum 3–5 years of industry experience required
  • Strong computer skills with the ability and willingness to learn new software and systems
  • Proficient in Microsoft Office applications
  • Experience with Univeris and Maximizer CRM considered an asset
  • Mutual Fund License considered an asset
  • Excellent oral and written communication skills
  • Strong organizational skills with exceptional attention to detail
  • Ability to prioritize workload, multitask, and meet deadlines
  • Ability to work collaboratively in a professional office environment
