We are looking to fill the position of Executive Officer Assistant for a 1-year contract.
This position will report to the Executive Director, Labour Relations.
The Executive Officer Assistant will provide administrative support to the Association’s Labour Relations team as they assist OPPA members with labour relations issues. The successful candidate will work collaboratively with the entire OPPA team to ensure exceptional member service is prioritized and achieved.
Qualifications
Post-secondary diploma in a related discipline preferred, or working towards a diploma in a related discipline.
Basic knowledge of computers and electronics for managing emails, completing administrative tasks using Microsoft Office programs (Word, Excel, PowerPoint and Outlook), and inputting/retrieving information via software systems.
Basic knowledge of labour practices, collective agreements, and government to assist in understanding procedures for handling member issues and grievances.
Key Responsibilities
Assist in managing ongoing member issues in a comprehensive and full spectrum support role to the Executive Labour Team.
Update, manage, and monitor electronic records in the software management system, and in hard copy where necessary, ensuring that records are updated in a timely fashion with all relevant and correct details and support documentation.
Create statistical summaries, reports, and presentation materials as may be required.
Fully accountable for various committee meetings, including responsibilities for preparing support documentation, sending invites, confirming dates and location, finalizing agendas between parties, minutes and record management, and follow‑up on action items.
Organize and support the intake of member issues and assist with the process management of member grievances.
Draft various communications and documents, as well as review and edit documents to ensure consistency, accuracy, correctness, and professional presentation of material.
Perform a broad range of administrative duties, including document management, assistance with travel arrangements, note‑taking, communication and message coordination, making arrangements for working lunches, and acting as liaison to the labour department.
Organize action items and assist with effective workflow within the department, ensuring tasks are prioritized and followed up in a timely manner, with an emphasis and focus on achieving excellent member service.

Proven ability to take initiative and problem solve with minimal direction.
Ability to communicate effectively in writing and verbally.
Strong attention to detail is fundamental in all aspects of the role.
