Executive Assistant to the CEO

Location:

Nashville, TN (In-Office). Full-time.

About the Role

You will keep the CEO focused on client relationships, product strategy, and growth. This is not a traditional administrative role; you will materially amplify the CEO’s effectiveness.

Key Responsibilities
  • Calendar and inbox management – scheduling, triage, blocking focus time.
  • Meeting preparation – agendas, pre-reads, talking points, post-meeting follow‑up tracking.
  • Travel coordination – logistics, itineraries, trip prep.
  • Expenses and corporate card – monthly reconciliation, receipt capture, coding for CEO’s spend.
  • Board and investor materials – preparation, distribution, and action item tracking.
  • Relationship management – CRM hygiene, outreach cadences, follow‑up for key client and partner relationships.
  • Internal communications – draft updates, coordinate between department heads, manage company event logistics.
  • Research – background on prospective partners, competitor activity, one‑off briefs as needed.
  • Light office management – office supplies, lunches, meeting room booking, event support.
Who You Are
  • 5+ years supporting a C‑suite executive, including direct experience supporting a founder.
  • Strong writer – can draft client email or board update that lands the way the first time.
  • High judgment and discretion – act autonomously when appropriate, flag issues when needed.
  • Trusted with sensitive information – board materials, financials, personnel matters, investor communications.
  • Proactive – see what needs to happen before being asked, follow up until completion.
  • Tech fluent – comfortable in Outlook, Teams, Slack, Hub Spot, and quick to learn new tools.
  • Fluent with AI tools – help the CEO use AI productively, build workflows.
  • Fintech or financial services exposure is a plus; genuine curiosity about the industry is required.
