Essential Attributes:

  • The Mission of the Clerk of Courts has a high degree of public accountability; regular attendance and punctuality is an essential function of this position.

  • Work cooperatively with other employees of the work unit and embrace a teamwork approach to completing tasks.

Essential Tasks:

  • Process and pre‑audit most invoices for goods and services provided to the BoCC and some elected officials.
  • Analyze bids and other agreements for invoicing and payment terms and audit payment requests in accordance with these terms.
  • Process and pre‑audit payroll and revenue‑related vouchers in a timely manner to meet bi‑weekly deadlines.
  • Research inquiries from BoCC departments, vendors, and other agencies regarding the status of payments.
  • Maintain accurate files and provide accurate information as requested.
  • Audit County purchasing card (Pcard) transactions according to Procurement’s Pcard processes and procedures.
  • Send monthly Pcard reports to BoCC divisions identifying any missing or insufficient receipts and other supporting documents.
  • Follow up with BoCC divisions on missing or insufficient receipts and other supporting documents if not sent by BoCC divisions after monthly reports are sent.
  • Audit in‑county and out‑of‑county travel reimbursements for the Clerk of Court and BoCC.
  • Keep detailed logs on travel‑related Pcard expenditures and verify that all travel expenditures are in accordance with the county travel policy and F.S. 112.061.
  • All other duties as assigned.
  • Multi‑task as needed.

Qualifications:

  • Ability to acquire or have knowledge of current procedures to accomplish tasks within areas of responsibility of Accounts Payable overall operation and workflow.
  • Ability to organize, prioritize and manage work to meet necessary time requirements, performance measures, and workload.
  • Ability to remain flexible as conditions change and continue effective performance in the face of additional challenges.
  • Ability to work with staff in a supportive, productive, and positive manner.
  • Ability to cover the work of other employees to ensure all deadlines are met.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Ability to apply common‑sense understanding to carry out instructions furnished in written, oral or diagram form.
  • Ability to write detailed correspondence.
  • Ability to apply job‑related Florida statutes and Clerk’s policies and procedures.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

  • Ability to compute rate, ratio, and percentages and perform billing calculations involving percentages and formulas.
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.
  • Proficient in general office practices, general office machines, filing, and PCs.
  • Graduate of an accredited high school or possess an acceptable equivalency diploma.
  • Six months’ related job experience and/or training, preferred.
  • Must have and maintain a valid Florida driver’s license.
