Essential Attributes

Essential Tasks
  • Answer incoming telephone calls systematically and professionally or forward calls to the appropriate person or department for further assistance.
  • Provide services to the general public and government agencies by professionally answering questions regarding records requests, procedures, and applicable Florida Statutes.
  • Assist customers by providing photocopies of public records, Certificates of Clerk, and instructions for submitting requests through PIER.
  • Determine appropriate fees or costs owed and respond to customers regarding payment requirements.
  • Process records requests within 1–3 business days when possible.
  • Submit receipts to the front counter for processing payments on completed requests, including checks and escrow accounts.
  • Verify and print microfilm/fisch and electronic images to ensure legibility and accuracy.
  • Assist the public and government agencies by copying records and assisting in the destruction of records once retention requirements have been met.
  • Follow record retention guidelines in accordance with Florida Statutes and Clerk policies.
  • Ensure files, reels, and related records are systematically arranged and maintained for efficient retrieval.
  • Manage and distribute files, reels, fisch, and copies by checking them in and out of storage as requested by departments.
  • Always maintain confidentiality of sensitive data and official records.
  • Provide customer service by responding to telephone inquiries, emails, and written correspondence regarding procedures, guidelines, Florida Statutes, and administrative rules.
  • Assist in other areas of Support Services, including Jury operations, as needed.
  • Ability to process and cashier invoices when required, in accordance with established financial procedures.
  • Perform other related duties as required or assigned to support departmental operations.
  • Being able to work in a constant state of alertness and safe manner.
Minimum

Skills & Qualifications
  • High School Diploma or General Education Diploma (GED). Significant history of related job responsibilities may be considered in lieu of minimum educational requirements.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write correspondence and communicate effectively with customers, judiciary, government agencies, and staff.
  • Ability to perform basic mathematical calculations including addition, subtraction, multiplication, and division.
  • Ability to apply common sense understanding to carry out written and verbal instructions.
  • Ability to deal with problems involving multiple variables in standardized situations.
  • Ability to acquire and apply knowledge of current procedures within assigned areas of responsibility.
  • Ability to develop and maintain a teamwork relationship with staff and other departments.
  • Ability to organize, prioritize, and manage multiple deadlines and workload demands.
  • Ability to accurately type approximately 25 words per minute and operate a PC and standard office equipment.
