YourSpecific Responsibilities:
The incumbent performs varied and diverse duties requiring basic knowledge of office management systems and procedures under the supervision of the Operations Management and Consultant I. Clerical duties may be assigned in accordance with office procedures and include a combination of scheduling appointments, answering telephones, bookkeeping, typing or computer processing, office machine operation, filing and/or determining program eligibility. Has good rapport with staff and clients, positive attitude, is flexible, approachable and accepts change readily as evidenced by lack of substantiated complaints/confrontations with staff and clients.
Promotes the department as a positive caring community organization through courteous behavior toward all clients and co-workers. Adheres to established Health Department policies and procedures.
- Promptly answers incoming phone calls for busy Specialty Care Clinic and directs calls for appropriate action, including triages for nurses.
- Schedules, cancels and reschedule appointments. Interviewing clients by phone or in person to determine types of services needed and makes appropriate appointments.
- Call clients to remind them of appointments and confirm appointments as assigned.
- Registers clients, completes necessary forms, ensuring accurate and up-to-date data for demographic, insurance and financial information is entered and scanned into HMS.
- Interviews patients to obtain pertinent health information. Accurately documents information and verifies patients personal information at all times during the registration process.
- Assist with verification of insurance eligibility and call for authorization, the day prior to clinic.
- Distributes incoming mail.
- Pulls client records the day prior to scheduled clinic appointment. Promptly checks client records back in at the end of the day.
- Reviews health record for completeness to ensure all required forms are included, labels are printed and Superbills are filled our properly, prior to client being seen by health care provider.
- Files client records in an orderly and complete fashion and the end of the day.
- Health Records and other client data are maintained in a secure environment as dictated by the information security policy. Ensure all secure areas are locked at the end of the day.
- Process all release of information forms received in patient care clinic via mail, fax or in person.
- Scans incoming medical records, eligibility records and release of information forms into HMS and adds documentation into HMS as needed.
- Perform other duties as requested by supervisor or other management staff as needed.
- As a state employee, in a County Health Department, incumbent will participate in disaster preparedness and/or recovery activities.
- Performs other related duties as required, including performance of additional interpreter duties, consistent with skill level, and as needed.
- Knowledge, skills and abilities, including utilization of equipment, required for the position:
- Ability to operate commonly used office equipment such as computers, printers, fax machine, label maker, paper shredder.
- Ability to use Microsoft Office products (Outlook, Excel, Word, Access, PowerPoint).
- Knowledge of general office procedures and practices.
