About the OpportunityAre you a proactive, detail‑oriented professional who thrives in a fast‑paced environment?
In this Executive Assistant role, you will ensure seamless coordination of the CEO’s calendar, travel, and confidential priorities. You will prepare high‑impact briefs, presentations, and meeting materials that equip the CEO for successful internal and external engagements. As a central communication hub, you’ll manage stakeholder interactions and craft clear, polished correspondence. You’ll also coordinate executive meetings, track strategic initiatives, and support Board and investor‑related activities.

Basel – hybrid – 2/3 days per week on‑site presence required.
What you will do- Manage and prioritize the CEO’s calendar, appointments, travel logistics, and confidential information, ensuring smooth daily operations.
- Prepare and support the development of briefing materials, presentations, reports, and documentation needed for high level internal and external meetings in an multinational environment.
- Serve as the primary point of contact communication between the CEO and internal or external stakeholders, ensuring timely and clear information flow.
- Draft, review, and support refinement of correspondence and written materials to maintain clarity, consistency, and alignment with company objectives.
- Coordinate executive leadership meetings by preparing agendas, managing logistics, capturing key outcomes, and driving follow up actions.
- Assist in tracking strategic initiatives and major projects, supporting Board preparation, investor related activities, and conducting research to inform decisions.
- Support operational excellence by streamlining processes within the CEO’s office, managing expense and budget tracking, and overseeing special projects in an international setting.
- Bachelor’s degree in business administration or related field is required; advanced degree preferred.
- 8+ years of experience as an Executive Assistant and or Chief of Staff is required, ideally within a global, matrixed organization; medical device or healthcare industry experience is a plus.
- Strong understanding of corporate governance, executive level priorities, and complex organizational dynamics.
- Exceptional organizational and time management skills with strong multitasking ability and consistent follow up on administrative and project related duties.
- Strong written and verbal communication skills in English and basic German are required;
Japanese considered an advantage. - Proficiency in Microsoft Office Suite and collaboration tools such as Teams and SharePoint.
- Familiarity with ERP with hands‑on experience in PR and PO creation with knowledge of Concur considered an advantage.
- Analytical ability to prepare executive reports, interpret data, and translate insights into actionable recommendations.
- High level of professional discretion, integrity, and confidentiality in handling sensitive information.
- Ability to work under pressure, adapt to shifting priorities, and operate both independently and collaboratively.
