Job Description Summary
Ensure operational support and administrative excellence to the Global Head Corporate & Business Development (C&BD). Responsible for organizational and project management support, independent delivery of operations services at wide-scale in a local and a global context to C&BD and cross-functional teams.
Job Description Key responsibilities- Independently deliver complex administrative and organizational activities, including operational reporting, confidential document management, database administration, and meeting coordination.
- Oversee and coordinate management support for the C&BD Leadership Team, ensuring effective tracking of milestones, deadlines, and deliverables.
- Plan and execute global and local events (townhalls, trainings, workshops), ensuring seamless collaboration with internal and external partners.
- Manage financial and procurement processes, including invoices, purchase orders, monthly accruals, cross‑charging, and supplier creation/maintenance in Ariba.
- Provide operational support to the Strategic Assistant to the Global Head of C&BD, ensuring smooth execution of strategic and administrative priorities.
- Ensure business‑critical coverage across the broader C&BD Business Support team, including supervision and training of the commercial apprentice.
- Guide and coordinate the activities of the C&BD administrative team, ensuring consistent standards and efficient task allocation.
- Maintain high‑quality communication and collaboration with internal and external stakeholders, ensuring alignment across functions and all management levels, including ECN and the Board Office.
- Manage temporary Insider requests and support confidentiality governance across M&A and BD&L projects, including execution of the C&BD Confidentiality Process.
- Very strong experience as executive administrative assistant in a cross-cultural environment, preferably within Novartis or a similarly complex organization.
- Proven expertise in managing complex calendars and travel arrangements.
- Experience coordinating and supporting leadership team meetings and events and working with Executive Committee Leadership (ECN), building strong relationships with the network of ECN executive assistants.
- Exceptional organizational and time management skills; resilience and ability to work well under pressure while managing competing priorities.
- Strong written and verbal communication skills (English and German).
- Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and familiarity with AI tools.
- Ability to handle confidential information with the utmost discretion.
- Strong problem-solving abilities and the capacity to work independently.
- High attention to detail and accuracy.
