JOB DESCRIPTION

Job Title: Administrative Assistant, Child Nutrition

Evaluation Type: Paraprofessional

Supervisor: Child Nutrition Director & Child Nutrition Manager

BASIC FUNCTION & RESPONSIBILITY: Under moderate supervision, organize and manage the routine work activities of the Child Nutrition Services office. Provide high-level clerical, scheduling, and organizational support to the Child Nutrition Director, Coordinator, and department staff. Maintain records, track staff trainings, prepare documentation, and ensure efficient daily operations while maintaining confidentiality and professionalism aligned with the mission of Bastrop ISD.

Qualifications

Education/Certification:

  • High school diploma or GED required
  • Associate’s degree or coursework in business administration or related field preferred

Special Knowledge/Skills/Abilities:

  • Bilingual in English and Spanish preferred
  • Proficient in keyboarding, data entry, word processing, and file maintenance
  • Skilled in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace
  • Ability to use software for creating spreadsheets, databases, and professional documents
  • Excellent time management and ability to prioritize multiple projects with competing deadlines
  • Strong organizational, interpersonal, and communication skills
  • Experience managing calendars, scheduling meetings, and coordinating logistics
  • Ability to take accurate meeting notes and produce concise summaries
  • Ability to maintain detailed records of staff trainings and certifications
  • Basic math and financial recordkeeping skills

Experience:

  • Three (3) years of secretarial experience, preferably in a public education environment
Characteristic

Duties & Responsibilities

Records, Reports, and Correspondence:

  • Prepare professional correspondence, reports, manuals, presentations, and documents for the Child Nutrition Director, Coordinator, and department staff.
  • Take and distribute accurate meeting notes for internal and external department meetings.
  • Maintain department records, training logs, and filing systems in compliance with district and regulatory protocols.
  • Track and update documentation related to employee trainings, certifications, and compliance requirements.

Accounting and Purchasing Support:

  • Perform routine bookkeeping tasks and maintain accurate records of departmental budgets and expenditures.
  • Prepare, process, and track purchase orders, payment authorizations, and requisitions.
  • Assist with daily edit checks and bank deposit records.

Calendar and Departmental Support:

  • Manage and maintain the calendar for the Child Nutrition Director, including scheduling appointments, coordinating meetings, and tracking deadlines.
  • Support department-wide scheduling needs including events, trainings, and internal communications.
  • Answer incoming calls, take and relay messages, and route inquiries to appropriate staff.
  • Receive, sort, and distribute department mail and documentation.
  • Assist with planning and setup for department meetings, staff trainings, and special events.
  • Support coordination of materials, facility use, and technology needs for department activities.
  • Maintain confidentiality of all sensitive information and ensure a respectful, professional office environment.
  • Follow all Bastrop ISD safety protocols and emergency procedures.

  • Tools/Equipment Used: Standard office equipment including computer, printer, scanner, copier, and telephone

  • Lifting: Occasional light lifting and carrying (under 15 lbs.)
