Position: Attendance Clerk, Chronic Absenteeism (2026-2027 School Year) (10176)

Chronic Absenteeism Attendance Clerk

Identify and provide targeted support to students who are chronically absent or at risk of becoming chronically absent. Work directly with students, families, campuses, and community partners to identify barriers to regular attendance, coordinate appropriate interventions and resources, monitor student progress, and support district efforts to improve student attendance and engagement.

Qualifications:

Education/Certification:

  • High school diploma or equivalent

Special Knowledge/Skills/Abilities:

  • Knowledge of applicable district policy and procedures
  • Knowledge of Texas Education Agency rules, regulations, and procedures
  • Knowledge of Public Education Information Management Systems (PEIMS) rules, regulations, and procedures
  • Skill in preparing and maintaining accurate records and reports
  • Skill in communicating effectively, both verbally and in writing
  • Skill in operating standard computer and software applications, including but not limited to electronic mail, word processing, spreadsheets, databases, and presentations
  • Ability to work collaboratively with staff, parents, and District employees
  • Ability to prioritize and organize work responsibilities
  • Ability to meet established deadlines

Experience:

  • Three (3) years of related experience
  • Experience working with at-risk students and families preferred

Characteristic

Duties & Responsibilities:

Chronic Absenteeism Intervention & Case Management:

  • Regularly review attendance data to identify students who are chronically absent or at risk of chronic absenteeism.
  • Maintain an active caseload of identified students and document outreach, interventions, referrals, and outcomes.
  • Conduct individualized outreach to students and families through phone calls, conferences, electronic communication, and other appropriate methods.
  • Meet with students and families to identify barriers contributing to poor attendance and develop individualized plans to improve attendance.
  • Provide ongoing follow-up with students and families rather than relying solely on required attendance notices.
  • Connect families with appropriate campus, district, and community resources to address barriers such as transportation, health concerns, housing instability, childcare, mental health needs, or other circumstances impacting attendance.
  • Coordinate with counselors, social workers, administrators, nurses, special programs staff, and other appropriate personnel when additional support is needed.
  • Monitor the effectiveness of interventions and adjust strategies when attendance does not improve.
  • Develop positive relationships with students and families to encourage school engagement and consistent attendance.

Student Support:

  • Assist in timely resolution of parent/student issues and concerns in a professional and courteous manner.

Support of Administrative, Fiscal, and/or Facilities Functions:

  • Create and maintain student attendance records, which include updating and maintaining both hard copy and online student records.
  • Disseminate records to campuses, other school districts, central administration, and court-ordered requests promptly and accurately.
  • Maintain attendance accounting records in accordance with Texas Education Agency (TEA) standards.
  • Summarize results of attendance calls to communicate communicable diseases to the District lead nurse.
  • Generate and distribute attendance-related letters, including notification of excessive absences and/or tardies.
  • Prepare and print reports, including attendance reports, end-of-semester reports, or accounting reports.
  • Process and maintain accurate Public Education Information Management System (PEIMS) data for state agencies.
  • Maintain confidentiality of all student records.
  • Report all attendance concerns to the designated administrator and/or appropriate attendance officer(s).

  • Work collaboratively to improve truancy prevention programs and initiatives.

  • Interact positively with employees and the community to provide needed information and to promote the District in a favorable manner.

  • Communicate and collaborate with campus/department staff to enhance service delivery and customer satisfaction.

Other Responsibilities:

  • Comply with policies established by federal law, including but not limited to State Board of Education and local Board policy.
