Operations Manager
We’re hiring an on-site Fulfillment Manager to lead day-to-day shipping operations for The Painted Porch Bookshop and Daily Stoic e-commerce products. This person will manage the fulfillment team, ensure orders go out accurately and on time, and continuously improve how we pick, pack, ship, and receive inventory.
This is a hands‑on role: you’ll be on the floor with the team, building reliable systems, preventing shipping errors before they happen, and coordinating the moving parts that keep fulfillment running smoothly.
We’re also opening a new fulfillment space in Bastrop, and this role will play a key part in planning and executing that transition (layout, workflow, inventory movement, staging, and go‑live stability).
Key Responsibilities Fulfillment Operations (Daily Execution)- Oversee daily picking, packing, shipping, and order flow for books and Daily Stoic products
- Ensure orders ship accurately, quickly, and with consistent quality standards
- Maintain clear fulfillment priorities for the team (rush orders, backorders, special packaging needs, personalized books, etc.)
- Monitor and reduce shipping mistakes, returns, and customer service issues tied to fulfillment
- Ensure supplies stay stocked (boxes, tape, labels, inserts, etc.) and reorder proactively
- Manage and support the fulfillment team (training, scheduling, performance, accountability)
- Set clear expectations and quality standards for pick/pack workflows
- Identify bottlenecks and adjust staffing or processes to keep work moving smoothly
- Create a positive, high‑ownership work culture where accuracy matters
- Coordinate shipping methods, rates, and workflows across carriers (UPS, USPS, etc.)
- Troubleshoot carrier issues: delays, claims, damaged packages, pickup problems, tracking issues
- Maintain clean, organized shipping stations and ensure correct labeling and documentation
- Coordinate inbound shipments with manufacturers and vendors
- Communicate inventory needs and timing to prevent stockouts and fulfillment delays
- Help maintain inventory accuracy through clean receiving, storage, and cycle count practices
- Identify recurring product issues (defects, packaging problems, missing components) and work with vendors to fix them
- Track fulfillment performance: order accuracy, throughput, shipping costs, and recurring issues
- Improve workflows and standard operating procedures (SOPs) to reduce mistakes and increase speed
- Help ensure product packaging is consistent and protective, while staying cost‑effective
- Collaborate with customer support to spot patterns and prevent repeat errors
- Help plan and implement the move into a new fulfillment area
- Assist with layout planning, staging zones, workflow design, and organization systems
- Oversee the transition to minimize downtime and prevent inventory confusion
- Ensure the team is trained and stable in the new space post‑move
- 2+ years experience in fulfillment, warehouse operations, or shipping/logistics (e-commerce preferred)
- Experience with Shopify, Ship Station, Pirate Ship, or similar shipping/order tools
- Proven experience managing or leading a small team
- Strong attention to detail and high quality standards
- Calm problem‑solver who can prioritize quickly and adjust plans daily
- Comfortable being hands‑on (this is not a desk‑only role)
- Strong communication skills with both internal staff and external vendors/carriers
- Ability to lift and move packages (typical fulfillment environment)
- Interest in books, publishing, and/or product brands
