The Equipment Administration is responsible for managing administrative activities related to company equipment, tools, machinery, and assets. This role ensures accurate documentation, equipment tracking, maintenance coordination, inventory control, and procurement support to maintain smooth operational activities.
Key Responsibilities Equipment Administration & Asset ManagementMaintain accurate records of all company equipment, tools, and assets.
Monitor equipment issuance, return, transfer, and disposal processes.
Update asset databases and equipment tracking systems regularly.
Conduct periodic inventory checks and equipment audits.
Monitor equipment condition and report damaged, missing, or obsolete items.
Ensure all equipment documentation such as manuals, certifications, warranties, and inspection records are properly maintained.
Equipment Ordering & Procurement CoordinationPrepare and process equipment purchase requests based on operational needs.
Coordinate with the Purchasing Department regarding equipment procurement and order status.
Communicate with vendors and suppliers for quotations, delivery schedules, product specifications, and order follow-up.
Compare vendor quotations and assist in supplier evaluation processes.
Monitor equipment order progress to ensure timely delivery.
Coordinate equipment receiving and verify delivered items against purchase orders and specifications.
Maintain procurement records, purchase documentation, and vendor databases.
Support budget tracking and cost monitoring for equipment purchases.
Qualifications EducationDiploma or Bachelor’s degree in Business Administration, Engineering, Logistics, Supply Chain, or related field.
Experience1–3 years of experience in equipment administration, procurement administration, asset management, or related roles preferred.
Strong administrative and organizational skills.
Fluent in speaking, reading, and writing in both English and Mandarin.
Knowledge of procurement and purchasing processes.
Familiarity with ERP, inventory, or asset management systems is an advantage.
Strong communication and follow-up abilities.
Attention to detail and accuracy in documentation.
Ability to manage multiple tasks and deadlines.
