Job SummaryCH Management is seeking a highly organized and detail-oriented Administrative & Accounting Support Specialist to serve as the centralized intake and support function for our multi-entity management organization.
This role supports administrative and accounting operations across multiple operating companies. The ideal candidate is process-driven, organized, and comfortable managing multiple tasks in a deadline-driven environment.
Key Responsibilities- Centralized Intake & Accounting Support
- Manage designated Accounts Payable email inboxes
- Receive, review, and route vendor invoices to appropriate accounting personnel
- Process vendor documentation (W-9s, setup forms, insurance certificates)
- Send and track vendor statement requests
- Ensure all documentation is saved properly
- Perform data entry related to accounting and operational support
- Monitor for missing or incomplete documentation
- Administrative Support
- Receive and distribute incoming mail
- Compile deposits for processing
- Maintain organized filing systems
- Assist with scheduling and general office coordination
- Financial Support
- Assist with accounts payable and accounts receivable processes as needed
- Support pre-close documentation and reporting preparation
- Maintain accurate and timely recordkeeping
- 3–5 years of experience in administrative or accounting support roles
- Strong organizational skills and exceptional attention to detail
- Ability to manage high-volume documentation accurately
- Proficient in Microsoft Office (Excel and Outlook required)
- Experience with accounting software (Quick Books preferred)
- Comfortable working within structured processes and deadlines
- Ability to handle confidential information with discretion
- Strong written and verbal communication skills
- Highly dependable and punctual
- Process-oriented and disciplined
- Comfortable working in a deadline-driven environment
- Able to manage multiple priorities without sacrificing accuracy
- Proactive communicator
