Administrative Assistant 6
The Executive Division coordinates and administers the various activities of the Office of Enforcement in Baton Rouge, LA. Among the primary responsibilities of the Executive Director's Office staff is the oversight of statutory responsibilities and regulations, professional service contracts, budget, personnel, information, safety, and emergency matters.
This Administrative Assistant 6 is located within the Executive Division of the Office of Enforcement and reports to the Executive Director. This position serves as the confidential executive assistant to the Executive Director and provides administrative support, assistance, and coordination to research, document, and oversee various projects for the Office of Enforcement. Such duties are assigned by the Executive Director. Upon the Executive Director's request, this position exercises influence and/or authority on office management, personnel matters, and procedures as related to the Divisions of the Office of Enforcement.

Minimum Qualifications:
Five years of experience in administrative services. Experience substitution:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. The maximum substitution allowed is 120 hours, which substitutes for a maximum of four years of experience.
Job Duties:
- Oversees the professional presentation and function of the Office of Enforcement's Executive Division. Office management for this Division includes, but is not limited to, reviewing and prioritizing all written and verbal correspondence, as well as tracking their processing.
- Responsible for exercising independent judgment, without prior approval, in coordinating the scheduling of important appointments for the Executive Director.
- Prepares material needed by the Executive Director for committee hearings, meetings, appointments, conferences, etc., which includes independent research of various subjects, as well as coordination of research with the Department's Legal Division or other staff members.
- Works directly with legislators as well as congressional delegation who call requesting meetings with the Executive Director, or information for their constituents. Works closely with DENR HR in matters regarding personnel.
- Works closely with C&E HR on matters related to personnel.
- Serves as Primary Time Administrator. Serves as Secondary Time Administrator for the Orders and Inspections Divisions of the Office of Enforcement.
- Manages and staffs OENF's main reception desk and effectively addresses any and all issues involving the duties and responsibilities there of primary importance is the proper processing of a large volume of incoming mail, including the receipt of many live checks, which are logged and delivered daily to C&E/Fiscal Services.
- Coordinates and directs special projects and prepares various reports for the Executive Director as needed. Collects, compiles, and distributes information to be made available to various legislative committees, the Governor's Office.
- Maintains property control records and coordinates annual inventory for the Executive Division. Manages equipment, supplies, and all purchasing needs of the Executive Division (P-Card). Creates requisitions before forwarding for payment (LaGov). Coordinates with the Business Analytics Specialist in reviewing, monitoring, and approving the monthly Transaction Register, etc.
