WAE - Receptionist
The Receptionist serves as the first point of contact for University College, providing exceptional customer service to students, faculty, staff, parents, and campus visitors. This position manages front desk operations, responds to inquiries, triages student questions to the appropriate resources, provides administrative support for departmental communications, and assists with operational projects that support the daily functions of the college.
Job Responsibilities
Front Desk Operations (40%):
- Serve as the primary receptionist for University College by welcoming visitors and providing a professional, customer-focused experience.
- Answer, screen, and direct incoming telephone calls to the appropriate office or staff member.
- Respond to walk-in inquiries from students, parents, faculty, staff, and campus partners.
- Triage student questions and determine appropriate referrals based on the nature of the request.
- Maintain the reception area and ensure informational materials are current and readily available.
- Monitor lobby traffic and assist with visitor check-in procedures as needed.
Student Support and Communication (25%):
- Provide general information regarding advising services, registration, appointments, academic policies, and campus resources.
- Assist students with scheduling appointments and navigating university systems.
- Provide backup support for departmental email accounts by monitoring inboxes, responding to routine inquiries, and routing messages to the appropriate staff members.
- Ensure timely and accurate communication with students while maintaining confidentiality of student records.
Administrative and Operational Support (25%):
- Assist with administrative projects that support departmental operations, student outreach, and special initiatives.
- Prepare documents, maintain records, and support data entry and filing activities.
- Assist with event logistics, office supply inventory, mail distribution, and other administrative functions. Coordinate routine office procedures to ensure efficient daily operations.
Other Duties (10%):
- Provide back-up support for other administrative functions during peak periods or staff absences.
- Participate in departmental meetings, trainings, and professional development.
- Perform other duties as assigned.
Minimum Qualifications
High School Diploma and two years of experience in customer service, administrative support, reception, or office operations.

Experience:
- Two years of experience in customer service, administrative support, reception, or office operations.
- Demonstrated ability to provide exceptional customer service in a fast-paced, high-volume environment.
- Experience handling multiple priorities while maintaining professionalism and attention to detail.
Preferred Qualifications
Experience working in higher education or a student services environment.
Experience with Microsoft Office Suite and student information systems.
Excellent interpersonal, organizational, and communication skills.
Ability to manage multiple priorities in a fast-paced, customer-service environment.
