Job Description:
This position will assist in providing administrative support to ten academic programs:
Asian Studies, ASPIRE, Comparative Literature, Screen Arts, Jewish Studies, International Studies, Masters of Arts in Liberal Arts, Linguistics, HSS Humanities Center, and Women's Gender & Sexuality Studies. The programs have over 80 faculty members and the eight directors are drawn from various departments across the LSU campus.
Job Responsibilities:
HSS Humanities Center: 3-6 speakers/semester:
Make travel and accommodation reservations. Process travel, meal, accommodation, incidentals, and honoraria/stipend-related paperwork for visiting speakers
6-12 events/semester:
Process paperwork for costs associated with events (incl. catering and venue) for. Assist with making catering reservations/arrangements for events. Assist with booking venue reservations for events. Assist with scheduling events. 25%
Office Management - Serve as the initial point of contact for all Interdisciplinary Programs. Greets faculty, students, and visitors. Answers the main office phone. Assists callers and visitors with a variety of inquiries regarding academic questions, course scheduling, and use of Workday. Contacts appropriate units regarding problems/issues. Submit work orders for facility and telecommunication needs. Maintain office supply inventory. Order desk copies.
Collects and distributes all incoming and outgoing mail. Attend appropriate trainings for job duties. Complete annual inventory for all Interdisciplinary Programs. 20%
Academic Administrator - Serve as main point of contact for all academic actions and inquiries (graduate, undergraduate, majors, minors, and concentrators). Maintain spreadsheets and files for each of these groups for each program. Serve as liaison between graduate students and the Graduate School. 15%
Curriculum/Registration - Load courses, instructors and special topics for Interdisciplinary Programs adhering to University regulations and deadlines. Assists faculty with room change requests, adding students, and adjusting enrollment maxima. Override students into courses at that are full, with instructor's permission, and add students to courses that are designated as permission of instructor/department. Work with the Registrar and other departments concerning cross-listed courses.
Serve as liaison to the Registrar's office for course additions and/or changes. 15%
Student Employment Partner - Serve as Student Employment Partner in Workday. Responsible for HR actions in Workday for student workers and graduate assistants including hiring, onboarding, job continuations, compensation adjustments, separations, new positions, and requisitions. Supervises, trains, and assigns job duties for student workers. Ensures all student employees document work time correctly and paid correctly and in a timely manner. Maintain fund balance for each student to ensure funding limitation is not exceeded.

Cost Center Manager - Manage and maintain operating budget for ASPIRE and HSS Humanities Center. Review and distribute monthly ledgers to appropriate Program Directors. Research and correct any unauthorized charges. Calculate and report accurate balances. Complete journal voucher corrections to transfer unauthorized charges. 10%
Travel - Make travel arrangements and process spend authorizations and expense reports for all ASPIRE students and faculty mentors. Coordinate and process transportation, hotel reservations, meals, and honoraria for guests of all Interdisciplinary Programs. Responsible for event planning for all Interdisciplinary Programs. Other duties as assigned. 5%
