Job Purpose

The Accounts Payable Administrator is responsible for ensuring timely and accurate payments on behalf of the company related to project invoices, office expenses, and facility maintenance.

Responsibilities

• Process and post invoices

• Reconcile vendor statements

• Pay vendors and manage payment batches

• Hold and release payments as needed

• Process facility bills and land rent payments

• Complete company credit card reconciliations

• Manage recurring and loan payments

• Process intercompany invoices

• Set up new vendors and maintain vendor accounts

• Complete credit applications

• Process lien waivers and joint checks for material vendors

• Maintain payment methods and terms

• Process employee reimbursements and expense reports

• Upload positive pay files to the bank

• Complete daily funds transfers

• Communicate with accounting management, project teams, and vendors

• Verify invoice coding and sales tax accuracy

• Moderate degree of job complexity

• Works under moderate supervision

Qualifications

• High school diploma or equivalent

• Strong teamwork and interpersonal skills

• Excellent customer service skills

• High attention to detail and problem-solving ability

• Ability to organize and track information while meeting deadlines

• Basic knowledge of Washington State sales tax laws

• Minimum of two years of accounts payable experience

• Associate degree or equivalent specialization in AP or subcontracting

Working Environment

• Extensive computer-based office work

• Typical schedule is 40 hours per week between 7:00 AM and 5:00 PM, Monday through Friday

• Occasional evening or weekend work may be required
