Job Summary:
The Administrative Assistant position provides frontline customer service and administrative support across multiple departments, including office operations and production coordination. This role serves as the first point of contact for visitors and callers, supports daily clerical and organizational tasks, maintains accurate digital and physical records, and assists with the preparation and distribution of production documentation. The position also plays a key role in keeping the company’s physical project board and office workflows organized and up to date.
Job Responsibilities:
Serve as the main point of contact at the front desk by greeting visitors and responding to incoming calls in a professional and courteous manner.
Manage incoming and outgoing mail, deliveries, and general office inquiries.
Provide general administrative support, including scanning, filing, data entry, and basic document organization.
Maintain digital files and online folders to ensure documents are stored in a clear, consistent, and accessible manner.
Assist departments with routine administrative tasks, paperwork routing, and document preparation.
Prepare and distribute production documentation, including work orders and job travelers.
Print and organize production paperwork and verify all materials and components are picked and issued to the production floor.
Update and maintain the physical project board based on information provided by project managers and department leads.
Help maintain office supplies and ensure the reception and common areas remain clean and organized.

Knowledge/Experience
Required:
High school diploma or equivalent; additional administrative training is a plus.
1–3 years of experience in reception, customer service, or administrative support.
Strong organizational skills with attention to detail.
Proficiency with Microsoft Office Suite (Outlook, Word, Excel).
Ability to handle multiple tasks, shift priorities, and collaborate with various departments.
Professional communication and interpersonal skills.
Experience working in a multi-department office environment, preferred.
Familiarity with digital file management or online document storage systems, preferred.

While performing the duties of this job, the employee is regularly required to prolonged periods of sitting at a desk and working at a computer. The employee is occasionally required to stand and walk; reach with hands and arms;
lift and/or move up to 10 pounds. Must be able to communicate verbally with co-workers and other individuals; be able to hear well; see clearly and up close.
