Position: FRONT DESK ADMINISTRATIVE ASSISTANT

Part-Time Front Desk Administrative Assistant

Family Service League is seeking a part-time Front Desk Administrative Assistant for the Family Recovery Center (FRC) in Bay Shore, NY. The Administrative Assistant will handle general administrative and clerical functions. The Administrative Assistant will be responsible for interacting with clients by phone or in-person to help navigate clinic services, scheduling appointments, and assisting with the completion of related paperwork.

Responsibilities include:

  • Greeting and interacting with clients, visitors, and referral sources.
  • Performing electronic data entry and record keeping.
  • Maintaining an onsite presence to serve as the first point of contact for clients and visitors.
  • Assisting supervisory staff with required statistical data collection and reporting.
  • Assisting with supply order.
  • Assisting with operation of technology, including phones, computers, copiers/scanners, and fax machines.
  • Assisting with completion of insurance paperwork, including prior authorizations for treatment.
  • Helping maintain a positive and productive work environment.
  • Assisting with coverage at other locations as needed.
  • Maintaining positive working relationships with others both internally and externally to achieve goals of the organization.
  • Working cooperatively and effectively with others to set goals, resolve problems and make decisions.
  • Working with Facility Manager to set priorities, develop a work schedule, monitor progress towards goals, and track details, data, information and activities.
  • All other duties as assigned.

Qualifications include:

  • High School Diploma or equivalent required.
  • Minimum of two years of related experience in an office setting required.
  • Ability to multi-task, have excellent customer service skills and work as part of a team.
  • Strong verbal and written communication skills required.
  • Proficient computer skills, including Microsoft Office required.
  • Bilingual in Spanish preferred.
  • Must be able to work a flexible schedule for office coverage.

Physical requirements include:

  • Sitting for long periods of time.
  • Some light lifting may be required.
