Job Summary

The HR Office & Employee Engagement Coordinator plays a key role in creating a welcoming, organized, and engaging workplace. This position is responsible for managing front office operations while supporting Human Resources initiatives that enhance the overall employee experience.

Serving as the first point of contact for employees, visitors, and vendors, this role ensures the office operates efficiently while partnering with HR to coordinate employee engagement activities, recognition programs, company events, onboarding support, and internal communications. The coordinator must be bilingual in English and Spanish to effectively support and communicate with employees across the organization.

The role reports to the Human Resources department and works collaboratively across all business functions to support administrative needs, employee programs, and initiatives that contribute to a positive workplace culture.

Responsibilities Office Operations & Administrative Support
  • Serve as the first point of contact for employees, visitors, vendors, and guests by providing a professional, welcoming, and positive experience.
  • Answer, screen, and direct incoming phone calls while ensuring timely and professional communication.
  • Coordinate visitor check-in procedures and maintain visitor logs as required.
  • Manage employee access badges and assist with employee equipment and office access needs.
  • Coordinate conference room scheduling and ensure meeting spaces are clean, organized, stocked, and prepared for meetings.
  • Maintain office hospitality areas, including coffee stations, refrigerators, and common areas, ensuring they are clean, organized, and properly stocked.
  • Coordinate catering, food, beverages, and hospitality needs for meetings, visitors, training sessions, and employee events.
  • Manage office supply inventory, place orders, and maintain appropriate stock levels for administrative and operational needs.
  • Coordinate ordering and tracking of office equipment, including computers and other administrative resources.
  • Manage incoming and outgoing mail, including sorting and distribution of mail and packages, as well as coordinating shipments through Fed Ex, UPS, and other carriers.
  • Resolve issues related to lost, delayed, or damaged shipments and deliveries.
  • Troubleshoot office equipment issues and coordinate repairs or service requests as needed.
  • Arrange travel accommodation and scheduling support for employees when required.
  • Maintain company databases, records, and administrative files.
  • Prepare reports, presentations, communications, and other documents assigned.
  • Provide general administrative and clerical support to departments across the organization.
  • Perform additional administrative duties and special projects assigned.
