Established for 30 years, the company moved in 2020 to a new state-of-the-art facility in Bay Shore, NY (Suffolk County Long Island) and is experiencing rapid growth. The company is embarking on another major expansion project and is expecting to more than double the business in the next 3-5 years.
Manage end-to-end order fulfillment, overseeing the process from Electronic Data Interchange (EDI) order receipt through to confirmed shipment. This includes coordinating across internal warehouses and third-party logistics (3PL) partners to ensure timely, accurate, and cost-effective delivery. The role requires careful balancing of service levels, operational speed, and logistics costs, with a strong focus on minimizing order exceptions and ensuring seamless customer experience.
Responsibilities:- Schedule and confirm pickups (FTL, LTL, multi-vendor consolidation); coordinate dock times with carriers/3PLs to meet customer delivery windows.
- Track orders in 3PL portals; proactively resolve exceptions (temperature control, appointment delays) before they affect OTIF.
- Maintain shipment documentation (BOL, labels, COAs) and item/case/pallet specs; ensure regulatory and customer-specific compliance.
- Coordinate transfers between production, owned DC, and 3PLs; build loads that optimize cube and cost per case.
- Create and maintain SOPs/playbooks; partner with CS/Warehouse to reduce accessorial and cycle times via continuous improvement.
- Support month-end close with shipment cutoffs and KPI reporting; contribute to freight and 3PL scorecards.
- On-time delivery (OTD) and OTIF %
- Exception rate per 100 orders (OS&D, holds, rework)
- Transfer cycle time between facilities (avg days)
- 5+ years in logistics/traffic, order management, or 3PL coordination (food or CPG preferred).
- Proficiency in Excel (lookups, pivot tables) and comfort with TMS/3PL portals.
- Clear, calm communicator with strong follow-through; excels in deadline-driven work.
- Ability to support occasional after-hours/on-call for hot loads or month-end cutoffs.
- Comfort entering freezer/cold environments with provided PPE; able to lift to 30–40 lbs. occasionally.
- Experience with WMS/TMS integrations; basic Aptean EDI mapping preferred.
- Food safety & cold-chain familiarity (BOL/COA requirements, temperature recording).
- Lean/Kaizen mindset; SOP writing and process documentation skills.
- Hands-on with an ERP (Aptean or similar) and EDI flows (850, 940/945, 856; 214/210 exposure).
The employee will occasionally move within the office to access office machinery, file cabinets, and collaborate with colleagues. Consistent use of office equipment, such equipment may include but not limited to computers, phones, printers, and copiers. The employee will be required to frequently communicate with both internal staff members as well as external parties or customers and must be able to convey accurate information.
