Position: MEDICAL STAFF COORDINATOR

Salary Range: $55,000.00 To $65,000.00 Annually

Job Specific Competencies

The Medical Staff Coordinator obtains necessary information to complete appointment and reappointment processes, maintains accurate files credentialing with regard to verification documentation, demographics, committee attendance, National Practitioner Data Bank, malpractice insurance and state medical licensure/certification. In addition, the position supports medical staff committees, as required and maintains medical staff bylaws, rules/regs and policies.

  • Responsible for credentials, Medical Executive Meetings & General Medical Staff meetings; agenda setting, producing minutes, meeting reminder.
  • Notification for new physicians, changes in privileges, reappointments, resignations and leave of absences to all necessary areas and entering of new/updates data into credentialing software.
  • Support departmental meetings.
  • Reappointment process includes queries; (Quarterly 30 physicians) which include preparing the application /mail /update/following up on missing documents or packages.
  • Licensure (NJ, CDS, DEA) verification.
  • NPDB verification query – website.
  • Claim history – contact insurance company.
  • Verification education.
  • Obtain hospital affiliations.
  • Filing, faxing, copying.
  • Monthly on‑call schedule.
  • Support maintenance and update information in the physician database, license, credentialing, contact information.
  • Responsible for hand hygiene compliance of staff.
  • Consistently participates in analysis of performance improvement data and oversees follow up of corrective action plans submitted by managers.

Is knowledgeable of and adheres to all hospital policies and procedures including but not limited to:
Attendance Management – report to work on time; be flexible when staffing needs warrant change; request time off in a timely manner; consistently utilize time clocks to document in and out shifts. Rules of Conduct – respect the rights and property of others; do not engage in harassment or violence in the workplace. HIPAA – maintain confidentiality of patients, staff and visitors at all times.

Dress Code – comply with dress code policy and wear  all times.

Keeps department policies and procedures current within a 3‑year window and places them on intranet per policy.

Completed and met previous years’ goals.

Always introduces oneself to customers, patients and visitors professionally and courteously. Directs patients and visitors that appear to be lost; contributes positively to morale and demonstrates service excellence by being respectful, empathetic, helpful and attentive; responds promptly to inquiries.

Treats all customers and co‑workers with respect and professionalism per HR Rules of Conduct policy.

Professional Development / Competency / Regulatory Compliance

Is 100% compliant with all mandated training/education of staff (department orientation, hospital‑wide, new hire orientation) as required.

Maintains current and valid credentials/license with relevant governing body and stays knowledgeable of all changes in federal, state, local and regulatory body laws, rules and regulations.

Is compliant with HIPAA rules and regulations and current patient safety standards.
