Job Summary
We seek an organized, customer-focused Part‑Time Administrative Specialist for the Animal Control Division. The role supports operations by handling customer service, file management, data entry, and internal communications, ensuring a smooth experience for residents and staff.
Responsibilities- Issue and maintain animal release documentation and assist customers with adoption applications, data entry, and payment processing.
- Answer and route incoming calls, take messages, and retrieve messages from the answering machine.
- Send letters, copy documents, enter inspection and complaint data, maintain the filing system, and create contractor work orders.
- Provide administrative support to the Animal Services Manager and Supervisors.
- Prepare and balance daily cash deposits, review receipts for errors, and resolve overages or shortages.
- Perform other related duties as assigned.
- High School Diploma or GED.
- Two years of customer service or general office experience, or an equivalent combination of education and experience.
- Intermediate computer processing skills in Microsoft Office.
- Bilingual in Spanish, Vietnamese, Chinese, French, Urdu, American Sign Language, or other.
- Ability to multi‑task, set priorities, and work independently.
- Attention to detail in entering, composing, typing, and proofreading data.
- Knowledge of business machine operations, PCs, and accounting/billing processes.
- High level of interpersonal skills to handle sensitive and confidential situations.
- Poise, tact, diplomacy, and ability to handle high‑volume complaint‑driven calls.
- Ability to work effectively with co‑workers and the public.
