Position: Executive Administrative Analyst  (Entry Level)

The Executive Administrative Analyst serves as a strategic partner to executive leadership, blending advanced business analysis with high-level executive support. This role goes beyond traditional administrative functions by leveraging data-driven insights, process optimization, and cross-functional coordination to inform decision-making and drive organizational performance.

This position requires a highly analytical, detail-oriented professional who can translate complex data into actionable insights while managing executive priorities with precision and discretion. The role operates at the intersection of business operations, analytics, and executive facilitation, supporting both strategic initiatives and day-to-day leadership effectiveness.

The ideal candidate is proactive, intellectually curious, and adept at synthesizing information, identifying trends, and improving processes. They must exercise sound judgment, maintain strict confidentiality, and communicate effectively with senior leaders, stakeholders, and external partners.

Key Responsibilities:

  • Manage complex executive calendars, travel arrangements, and inbox prioritization. Determine priority matters requiring executive attention; redirect to appropriate staff or handle directly as appropriate.
  • Keep executive leadership informed of time-sensitive and priority issues, ensuring appropriate follow-up.
  • Coordinate departmental and cross-functional meetings; prepare and distribute agendas and materials.
  • Prepare, transcribe, and format documents, reports, tables, charts, and executive presentations. Handle travel arrangements and prepare/submit expense reports. Draft and edit high-level correspondence and communications.
  • Collect, compile, and analyze operational, financial, and resource data. Identify trends and insights related to operations, budgets, and performance metrics.
  • Develop executive-level dashboards, reports, and visual presentations. Evaluate administrative procedures and workflows.
  • Recommend and implement improvements to increase efficiency and effectiveness. Standardize documentation and reporting processes where appropriate.
  • Coordinate cross-departmental initiatives and special projects.
  • Prepare executive briefings, reports, and board-level presentations.
  • Track milestones, timelines, and deliverables to ensure project success

Qualifications:

  • Bachelors in Business, Economics or related field.
  • Experience handling highly confidential information in a professional environment.
  • Strong analytical, problem-solving, and critical-thinking abilities.
  • Exceptional written, verbal, editing, and proofreading skills.
  • Advanced organizational and time-management skills with strong attention to detail.
  • Advanced Microsoft Office proficiency (Outlook, Word, PowerPoint, Excel).
  • Advanced Excel skills (pivot tables, formulas, data modeling, reporting).
  • Experience with data visualization tools (Tableau, Power BI), is preferred.
  • Experience with ERP or CRM systems (e.g., SAP, Concur), is preferred.
  • Ability to interact seamlessly with senior leadership and diverse stakeholders.
  • Past experience supporting a senior executive in an Executive Assistant, Administrative Analyst, or similar role.
