Position SummaryThe Maintenance Operations Coordinator serves as the operational hub of the Texas Maintenance Division, supporting the successful planning, coordination, and execution of maintenance projects from project startup through completion. Working closely with maintenance leadership, project managers, field crews, customers, vendors, and the Finance Department, this position coordinates project logistics, materials, equipment, subcontractors, purchasing, scheduling, estimating support, financial documentation, and customer communication.
More than an administrative role, this position is a key operational partner responsible for improving communication between the office and the field, maintaining visibility into upcoming workload, supporting business growth, and helping ensure projects are executed safely, efficiently, on schedule, and within budget while providing a clear path for future leadership opportunities within the organization.
The Maintenance Operations Coordinator is responsible for coordinating and managing the daily operational activities that support the execution of maintenance projects throughout Texas. This includes creating and maintaining projects within Procore, coordinating purchase orders, commitments, subcontract agreements, and project startup documentation while ensuring projects are organized and prepared for successful execution. The position serves as the primary point of coordination between field crews, vendors, suppliers, project managers, and customers to ensure that labor, equipment, materials, trucking, lodging, and other project resources are available when needed.
The role also manages monthly yard inventory, coordinates material transfers to active projects, tracks company equipment utilization, oversees vehicle registrations, and assists with scheduling crews and forecasting upcoming workload to maximize operational efficiency.
In addition to operations coordination, this position provides critical administrative and financial support to the Maintenance Department by reviewing payroll submissions, preparing project billing documentation, coordinating accounts receivable follow-up with customers, and supporting estimating activities by gathering vendor pricing, material costs, and production information. The Maintenance Operations Coordinator will also support the company's safety program by coordinating daily toolbox talk submissions, reviewing Daily Logs and Job Safety Analyses (JSAs) for completeness, and working closely with the Safety Manager to ensure project safety documentation is maintained.
Success in this role requires excellent organizational skills, strong customer communication, the ability to manage multiple priorities simultaneously, and the desire to become a trusted operational partner helping support the continued growth, efficiency, and profitability of the Texas Maintenance Division.
- Minimum of three (3) years of experience in construction operations, project coordination, project management, maintenance operations, heavy civil construction, railroad construction, industrial construction, utilities, or a related project-based industry.
- Strong organizational and time‑management skills with the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills with the ability to interact professionally with customers, vendors, subcontractors, field personnel, and management.
- Strong problem‑solving skills and the ability to work independently while supporting a fast‑paced operations environment.
