Position SummaryThe Maintenance Operations Coordinator serves as the operational hub of the Texas Maintenance Division, supporting the successful planning, coordination, and execution of maintenance projects from project startup through completion. Working closely with maintenance leadership, project managers, field crews, customers, vendors, and the Finance Department, this position coordinates project logistics, materials, equipment, subcontractors, purchasing, scheduling, estimating, financial documentation, and customer communication. The Coordinator is a key operational partner responsible for improving communication between the office and the field, maintaining visibility into upcoming workload, supporting business growth, and ensuring projects are executed safely, efficiently, on schedule, and within budget.
PrimaryResponsibilities
The Maintenance Operations Coordinator coordinates and manages daily operational activities supporting maintenance projects throughout Texas. Responsibilities include creating and maintaining projects within Procore; coordinating purchase orders, commitments, subcontract agreements, and project startup documentation; coordinating labor, equipment, materials, trucking, lodging, and other resources; managing monthly yard inventory, material transfers, equipment utilization, and vehicle registrations; assisting with crew scheduling and workload forecasting; reviewing payroll submissions and preparing project billing documentation;
coordinating accounts receivable follow‑up; supporting estimating activities; and coordinating safety documentation (daily toolbox talks, logs, and JSAs). The role also supports the safety program by working closely with the Safety Manager.
- Minimum of three (3) years of experience in construction operations, project coordination, project management, maintenance operations, heavy civil construction, railroad construction, industrial construction, utilities, or a related project‑based industry.
- Strong organizational and time‑management skills with the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills with the ability to interact professionally with customers, vendors, subcontractors, field personnel, and management.
- Strong problem‑solving skills and the ability to work independently while supporting a fast‑paced operations environment.
- Experience coordinating project logistics, purchasing, subcontractors, vendors, equipment, materials, or project documentation.
- Ability to read and interpret construction‑related documents, schedules, and project information.
- Valid driver’s license with an acceptable driving record.
- Ability to work Monday through Friday.
Experience using Microsoft Office applications (Excel, Word, Outlook, Teams) is required. Familiarity with construction project management software, project scheduling software, customer relationship management (CRM) platforms, electronic document management systems, estimating software, purchasing systems, and inventory management systems is highly desirable.
Desired ExperienceExperience supporting railroad maintenance, railroad construction, heavy civil construction, industrial construction, or similar field operations is highly preferred. Candidates with experience coordinating field crews, equipment, subcontractors, material procurement, vendor relationships, project documentation, estimating support, customer communication, and operational planning will be especially successful.
